The Role & What You Will Be Doing

Overview

As an AI Assistant (Trainee), you will support the growing adoption of Artificial Intelligence across EU markets and internal functions. This role plays a key part in keeping AI programmes running smoothly by supporting operational tasks, organizing training, answering simple user queries, and assisting in tracking the value that AI tools deliver to the business.

This is a development-focused position where you will learn from senior team members while gradually building skills in AI tools, digital operations, coordination, content support and basic analytics.

Key Responsibilities

AI Operations Support (25%)

  • Assist with routine tasks related to managing ChatGPT Enterprise access (e.g., checking lists, updating trackers, preparing onboarding information).
  • Keep simple records such as seat allocations, waiting lists and user logs up to date.
  • Support the team in ensuring users follow internal AI guidelines and responsible-use practices.
  • Help create simple dashboards or summaries showing how AI tools are being used across the business.

Training & Enablement Support (20%)

  • Help organize AI training sessions, workshops and online learning events across Europe.
  • Prepare materials such as slide decks, checklists and basic demo guides.
  • Support updates to the EU AI Hub (SharePoint) to ensure resources remain accurate and easy to navigate.
  • Assist in the creation of user-friendly educational content including newsletters, FAQs and “how-to” tips.

Use Case & Value Tracking Support (20%)

  • Help gather and organize AI use case ideas submitted by EU markets.
  • Assist with collecting simple data points (e.g., time saved, efficiency improvements) to demonstrate value.
  • Support early-stage pilots (PoCs) by keeping notes, updating documents and ensuring follow-up actions are completed.
  • Provide general support on ongoing AI projects under the guidance of senior team members.

Content & AI Pilot Assistance (10%)

  • Support EU markets participating in the “train-the-trainer” AI content creation programme.
  • Assist with preparing drafts, templates or simple content adaptations.
  • Support pilots related to personalized communications and customer insight development.

Cross-Functional & Market Support (25%)

  • Help answer simple AI questions from EU markets and functional teams.
  • Assist with coordinating updates and communication between regional and local teams.
    • Support other functions (Legal, HR, Finance, Comms, Medical Affairs) with basic AI onboarding tasks.
    • Prepare meeting materials, notes, follow-up actions and schedules for key meetings, such as the EU AI Steering Committee.
  • Provide additional project support for the Digital Transformation & Innovation team as required.

About Your Skills & Experience

Candidate Profile

Essential Skills & Qualities

  • Good organisational skills and strong attention to detail.
  • Interest in AI, digital tools and emerging technologies.
  • Willingness to learn and adapt within a fast-moving environment.
  • Clear communication style and ability to explain things simply.
  • Comfortable working with Microsoft 365 (SharePoint, Teams, Excel, PowerPoint).
  • Curious, proactive and confident asking questions or trying new things.

Preferred additional skills & qualities

  • Some experience in digital, marketing, admin or project support (via studies, internships or early career roles).
  • Basic familiarity with AI tools such as Copilot, ChatGPT, Gemini, Claude etc.
  • Interest in using AI to support content creation or training materials.
  • Experience working with multiple teams or partners (e.g., university groups, internships, agencies).

  • Tasks completed accurately and on schedule.
  • Training sessions and resources delivered with good organization and coordination.
  • Well-maintained trackers, lists and documents that support smooth team operations.
  • Visible development of AI knowledge and growing independence in daily tasks.
  • Positive feedback from markets and internal partners.
