The Role: Administrator
The position is responsible in managing Plant Maintenance SAP which consist of Tooling Notification system for new tooling and maintenance tooling work, WBS posting, and maintain tracking record. Assist in managing Customs Paperwork for tooling division/ import & export activity, sub-con process works and local transportation and is also expected to work closely, communicating with tooling functional teams/ other departments. In this role you will be responsible for the Main Lobby activities including welcoming of guests to the site, directing visitors and employees as needed and to manage the incoming phone calls and inquiries. The position will be primarily located in our new tooling building.
What You’ll Do:
Manage and complete settlement task of daily tooling order
To ensure PM request is complete per tooling project with sign off in SAP system
To perform daily clerical work and support assigned stuff with department projects and general office duties
Provide tooling reporting and reconciliation of GPB inventory/ Finished Goods
Assist in managing Customs Paperwork for tooling division/ import & export activity, and local transportation process
Assist in generating Monthly Customs reporting for exempted items
Support FA asset transfer for INTERCO and tooling shipment arrangements
Manage sub-con movements issuance for outsourcing and GPB declaration process
Monitor status of request for quote, PRs, to vendor for tooling projects as needed
request quotes from supplier/vendor for indirect supplies/ goods
Submit DRF request on outsourcing the tooling
To raise PRs in Ariba system as needed
Develop and maintain a filling system
Maintain office supplies inventory by checking stock to determine inventory level
Carry out administrative duties such as filling, copying, binding scanning & etc.
Responsible for the reception duties
What We Seek:
Diploma in related field or the equivalent
2+ years of administrative support experience
Must demonstrate good verbal and written communication skills.
Must be organized and able to handle multiple tasks
Must demonstrate good computer skills and use of MS applications; (PowerPoint, Word, Excel, and Outlook)
Reliable transportation and attendance.
Basic knowledge of various Export & Import regulations operating
Handle supply and inventory management requested (placing orders)
SAP experience will be a preferable plus
Outstanding Candidates Will Have:
Experience with office management software, SAP experience will be a preferable plus
Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP) or excel sheets
Must be organized and able to handle multiple tasks
Demonstrated initiative in improving office processes (filing, vendor negotiations)
