Typical Accountabilities
The role will support APAC lean Academy:
On-Time, On-Quality Delivery: Accountable for meeting training program timelines, scope, and quality standards across the full lifecycle.
Data Integrity and Governance: Accountable for accuracy of data in Forms, SharePoint lists, OneNote, and Power BI datasets; responsible for access control, permission hygiene, and adherence to retention policies.
Stakeholder Satisfaction: Accountable for clear communication, timely updates, and resolution of issues to maintain stakeholder confidence and participant satisfaction.
Facility Readiness and Safety: Accountable for classroom readiness, equipment functionality, and compliance with EHS requirements during all training events.
Budgetary Control and Cost Efficiency: Accountable for tracking training-related spend and ensuring cost-effective vendor services where applicable.
Change Control for Training Content: Accountable for coordinating content updates with Lean SMEs, maintaining versioning, and ensuring materials align with Lean Academy standards.
Position Responsibilities

Program Coordination (End-to-End Lifecycle):
Plan and coordinate internal Lean Academy training programs across pre-training, in-session, and post-training phases; define timelines, milestones, and dependencies; manage schedules and resources.
Documentation and Knowledge Management:
Create and maintain training documentation and assets (SharePoint sites/pages, OneNote notebooks, whiteboards, Forms); standardize templates and ensure version control.
Process Optimization (LC/NC Enablement):
Design and implement low-code/no-code workflows to automate scheduling, notifications, registrations, feedback collection, and certificate issuance; document SOPs.
Analytics and Transparency (Power BI):
Develop and maintain Power BI dashboards to visualize calendars, attendance, completion, feedback, trainer utilization, and progress of training initiatives; provide insights to stakeholders.
Stakeholder Communication:
Coordinate with trainers, participants, HR/L&D, organize cadence meetings and publish status updates; ensure alignment on scope and priorities.
Training Room and Facilities Management:
Manage Lean Academy classroom and venue operations, including bookings, setup, AV checks, safety/compliance, refreshments, and lunch orders; liaise with plant/factory teams and facilities.

Education, Qualifications, Skills and Experience
Essential
Education: Bachelor’s degree (business, operations, administration, or related).
Administrative Excellence: Strong scheduling, calendar management, document control, and meeting coordination.
Project Coordination: Experience managing timelines, milestones, action/issue logs, and stakeholder updates across pre-, during, and post-training phases.
Digital Tools: Proficiency with SharePoint, OneNote, Forms, Teams, Outlook; basic permissions management and template setup.
Communication: Clear written and verbal communication; confident in running cadence updates and aligning stakeholders.
Logistics Management: Venue/room booking, AV checks, materials readiness, and catering coordination.
Desirable
Process and LC/NC: Ability to simplify workflows using Power Automate or similar low-code tools (e.g., automated notifications, registrations).
Reporting: Basic Power BI skills to maintain dashboards and status reports.
Vendor/Cost Control: Experience with POs, invoicing, and vendor coordination for training events.
Bilingual: fluent English and Chinese for domestic/international coordination.
