The Administrative Support Associate's (ASA) role is integral to the smooth and efficient operation of the unit/department and the reception desk. The ASA is responsible for maintaining a positive environment utilizing customer service principles. Administrative Support Associates are responsible for non-clinical functions.


Essential Duties and Responsibilities

  • Patient Records:
    • Assembles and maintains patient records.
    • Files data and secures necessary reports for department operations.
  • Visitor Interaction:
    • Greets and assists visitors courteously.
    • Answers phones politely.
  • Communication:
    • Records and relays messages accurately.
    • Locates key personnel for call direction and inquiries.
  • Administrative Tasks:
    • Manages appointments and room bookings.
    • Prepares and distributes reports via email and mail.
    • Maintains departmental reports.
  • Office Equipment Operation:
    • Operates photocopiers, fax machines, and computers.
  • Supply Management:
    • Orders materials, supplies, forms, and services.
    • Completes various records and reports.
  • Information Systems:
    • Utilizes clinical and patient information systems for patient care support.
  • Project Assistance:
    • Assists with the implementation of specialized projects.

  • Currently enrolled in Pathways Program
  • N/A
  • Ability to operate basic office equipment like fax, photocopier, and calculator.
  • Demonstrates basic computer skills.
  • Ability to communicate effectively with a broad range of internal/external customers.
  • Initiates follow-up actions and works well with others.
  • Flexible in work practices and efficient in collaborative problem-solving.
  • Ability to receive and respond appropriately to tasks delegated by members of the healthcare team.
  • Ability to prioritize multiple tasks and manage time efficiently.
  • Supports and maintains patient privacy and confidentiality in all interactions.-HIPAA
