Location & Schedule

Wastewater Management oversees all aspects of wastewater functions, including the construction, operation, and maintenance of the City’s sanitary and storm systems, as well as administrative functions such as implementing policies, establishing cost controls and setting fees to maintain a revenue base sufficient to support operational requirements and capital improvements program, and responding to customer inquiries regarding sewage and storm drainage service charges.
The Wastewater Management team has an opening for an Administrative Supportive Assistant IV. Job duties and responsibilities of this position include, but are not limited to, the following:
- Interprets, applies, and explains regulations, policies, standards, and/or procedures to internal/external customers based on extensive knowledge of a specialized area within a defined scope.
- Reviews and evaluates forms, applications, computations, documents, and/or other information to determine accuracy, completeness, acceptability, or compliance based on extensive knowledge of a specialized area or legal requirements.
- Determines and evaluates facts and makes decisions without the benefit of direct guidance or supervisory review where the cost of correcting errors could be substantial in either time or money.
- Prepares and processes documents and other forms in accordance with legal precedents or other specialized/technical procedures.
- Recommends improvements or solutions to problems within a range of specified, acceptable, and/or standard alternatives and technical practices.
- Provides specialized information, identifies problems within a defined scope and has the authority to resolve discrepancies, and follows up on requests or complaints.
- Responds to sensitive inquiries and problems related to the specialized/technical area and resolves problems by making reliable decisions.
- Examines, checks, and approves/rejects information and determines appropriate services within a defined scope.
- Performs other related duties as assigned
The specific job duties for this position are as follows:
- Reviews PACP Pipeline Assessment Certification Program Inspection Reports generated by Wastewater CCTV inspection crews for accuracy.
- Reviews asset management software inputs by staff and supervisors for accuracy by running and reviewing related reports.
- Provides customer service and is the point of contact for the CCTV department and the QC code enforcement section.
- Schedules CCTV inspection staff and QC code enforcement staff for inspections, training, and appointments.
- Reviews vendor invoicing for parts, service, supplies, and repairs.
- Manages and tracks parts and equipment inventory stock.
- Prepares monthly reports for section and staff production.
What You’ll Bring
Our ideal candidate has some or all the following experience, skills, and characteristics:
- Strong customer service skills and experience working with internal/external customers
- Ability to create and maintain MS Excel spread sheets with graphs and data metrics
- Ability to schedule and manage multiple crews and projects using MS Outlook
- Well organized
- Ability to multitask
- Strong proficiency using Microsoft suite of programs MS Word, MS Excel, & MS Outlook
- Dispatching and phone experience dispatching field crews for customer complaints
- Ability to review and check inspection reports, work orders, and asset inputs for errors and missing data
Required Minimum Qualifications
- Education Requirement: Graduation from high school or the possession of a GED, HiSET or TASC Certificate
- Experience Requirement: Three (3) years of full performance office support/clerical work (type and level of an Administrative Support Assistant III)
- Education & Experience Equivalency Additional appropriate education may be substituted for the minimum experience requirements
- Licensure & Certification: Requires a valid Driver's License at the time of application. Licenses and certifications must be kept current as a condition of employment.
