Summary of Job Duties:

Position Summary: Offers administrative, clerical and programming support to enhance and maximize the efficiency and effectiveness of the Engineering department in the College of Business and Industry. Position supports the engineering department head and faculty, assists with student success and stakeholder engagement initiatives, and maintains faculty/course information essential to the maintenance of programmatic accreditation. Specific support responsibilities include coordination of textbook adoptions, travel, and purchasing. The position reports to the Department Head of Engineering.


Qualifications:

Required Education and/or Work Experience: Associate degree plus two years in an office setting

Preferred Education and/or Work Experience: Bachelor’s degree

Essential Job Duties and Responsibilities:

  • Performs basic reception and clerical duties (25%).

  • Coordinates travel and reimbursements (15%).

  • Creates and tracks departmental requisitions (15%).

  • Supports faculty instructional and research needs (10%).

  • Assists departmental or college leadership with the organization of programmatic accreditation, faculty, and/or assessment records (5%).

  • Maintain calendar and appointment schedule for engineering department head (5%).

  • Maintain departmental files, records, and logs (5%).

  • Maintain inventory of office and instructional supplies. Purchase supplies as needed (5%).

  • Receive and distribute mail and packages (5%).

  • Participate in department or college meetings or events (5%).

  • Participate in UAFS recruitment/yield events as requested (5%).

Other Job Duties and Responsibilities:

  • Receives, distributes, or responds to mail/email addressed to the departments as appropriate.

  • Assists with events planning and support.

  • Other duties as assigned.

Responsible for maintaining a positive work atmosphere by acting and communicating in a manner to foster teamwork and by providing leadership to student workers. Requires consistent on-time attendance.

Working Relationships: The Administrative Specialist III has regular contact with students, faculty, and staff as well as occasional contact with the public.

Special Job Dimensions: Work performed primarily in an office/classroom setting. Occasional travel and extended hours required. While performing the duties of this job, the employee regularly exhibits digital dexterity when entering data into computer. Required abilities include walking, standing, and sitting for extended periods. Visual demands include close, relatively detailed vision when focusing on a computer screen. Employee regularly talks and hears. Employee occasionally lifts items up to 10 pounds.
