Healogics is the largest provider of advanced wound care services in the United States, treating more than 300,000 chronic wound patients annually across over 600 sites. With an aging society, obesity and diabetes on the rise, and an uptick in surgical procedures, the number of patients with non-healing wounds that would benefit from expert care is dramatically increasing. As a result, the company is working to provide our differentiated, quality outcomes to as many patients as would benefit through our out-patient clinic partnerships.

The Administrative Specialist I provides essential administrative support to ensure the smooth, efficient operation of the HSP Leadership Team. This role is responsible for managing a variety of tasks, including calendar coordination, meeting and event planning, document preparation, and facilitating clear, professional communication with internal and external stakeholders

All Healogics employees must perform their job responsibilities according to all Healogics policies, Hospital policies, as well as to accrediting organizations, federal and state regulation, and to the Centers for Medicare and Medicaid Services (CMS) guidelines, as applicable.

Essential Functions/Responsibilities:  

  • Supports the Vice-Presidents of Practice Operations in administration and operational tasks such as scheduling Teams meetings, coordinating follow up action items and calendaring.
  • Manages the provider contracting process from completing the contract request forms to full execution utilizing DocuSign.
  • Tracking post hire 30, 60, and 90 day touch points with new providers.
  • Managing collaborative practice renewal agreements annually.
  • Support annual compliance training completion and follow up with providers.
  • Support the development and maintenance of regional and national traveller provider coverage calendars.
  • Organize Sharepoint and Teams’ files.
  • Develops and implements processes to improve the efficiency and or effectiveness of various processes, including new systems, process changes, and process developments.
  • Remains professional standards during difficult or stressful situations.
  • Performs other duties as required.

Required Education, Experience and Credentials:

  • Associate’s Degree required; Bachelor’s Degree, preferred
  • Minimum of two (2) years’ experience or equivalent combination of education and relevant experience

Required Knowledge, Skills and Abilities:

  • Ability to adapt quickly to changing priorities and time-sensitive deadlines.
  • Ability to coordinate across departments and serve as a reliable point of contact.
  • Knowledge of office operations, workflow coordination, and cross-functional support practices.
  • Skilled in calendar management, deadline tracking, and case/matter coordination.
  • Advanced knowledge of Microsoft Office Suite, particularly Word, Excel, Outlook, and PDF tools.
  • The hourly range for this role will be around $23.00-25.00
