PRIMARY DUTIES & RESPONSIBILITIES

The Administrative Specialist provides complex administrative, clerical, technical, and accounting support and public contact work for the Housing and Community Services Department.
PRIMARY DUTIES & RESPONSIBILITIES
Provides support for meetings; coordinate agendas, meeting back-up, transcribe minutes
Use Outlook calendar to schedule appointments, and monitor and plan special projects
Provides administrative support to Housing and Community Services divisions, a variety of committees, and commissions as assigned
Coordinates and completes special projects and programs
Responds to inquiries from the general public, department divisions, and members of commissions and committees via email and telephone
Composes, proofreads, and formats a variety of documents that include letters, proclamations, memoranda, and reports
Prepares, issues, and monitors department documents requiring technical knowledge of department functions
Operates a variety of office equipment including personal computers with varied software
Maintains, modifies, and updates database information for specialized division functions
Works with the Communications Department with creation of flyers, brochures, and press
Performs additional duties as assigned

MINIMUM QUALIFICATIONS & WORKING CONDITIONS
An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.
Education:
High school diploma or equivalent (GED) required.
Experience:
At least 2 years of related technical and administrative support experience including at least 1 year of customer service experience.
Knowledge:
Business English, spelling, math, accounting procedures, and administrative support functions related to assigned department.
Microsoft Office suite including Outlook, Word, Excel and PowerPoint
Skills:
Strong interpersonal and leadership skills
Excellent customer service skills over the phone and in-person
Skilled in checking information for accuracy and completeness and correcting errors
Work independently without extensive oversight
Ability to process high seasonal volume with strong attention to detail
Abilities:
Establish and maintain effective working relationships with employees, citizens, and elected officials.
Multi-task ability to effectively manage multiple projects with deadlines
Communicate effectively both verbally and in writing
Handle sensitive situations with tact and diplomacy
WORKING CONDITIONS
Essential Personnel:
When a local announcement of emergency or disaster is declared by the city, all City of Aurora employees may be required to work as essential personnel.
Physical Demands:
Light physical work lifting 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds with or without assistance.
Occasional walking and standing
Frequent hand/eye coordination to operate computer keyboard and office equipment
Vision to reading, recording and interpret information, computer data and other written material
Frequent speech communication and hearing to maintain communication with employees and citizens
Work Environment:
Works primarily in clean, comfortable environment
Equipment Used:
Frequently uses standard office equipment including computer, calculator, multi-line telephones, copy/fax machines and postal equipment.
This role may require the incumbent to use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment
The city of Aurora will implement furlough days (unpaid days off) for most employees in 2026. The scheduled furlough dates are January 16, April 10, July 2, and December 24.
