Purpose

Responsible for a variety of complex decisions and administrative services including administration of a budget of considerable size. Oversees all administrative operations for Operational Safety and Compliance, Environmental Health and Safety, Fire Prevention Services, and Building Compliance.

Responsibilities

  • Develops, monitors, and maintains control of internal purchasing and procurement processes. Interacts with university accounting and procurement departments to ensure purchases comply with university policies. Assists staff with travel arrangements using travel card and university processes.
  • Assist in preparing reports and responding to official inquiries. Responsible for inventory management and leading or overseeing annual physical inventory.
  • Supervises and oversees the workload for the Administrative Assistant/Receptionist. Acts as backup when needed.
  • Develops and maintains administrative filing plans, resources, and references foe easy access by staff. Serves as Building Manager for ECG.
  • Provides assistance to staff in administration and termination of purchase orders, contracts, and grants.
  • Maintains contact and liaison with other University offices to ensure efficiency and continuity in daily operations.
  • Recruits, manages, trains and evaluates assigned staff. Coordinate certain phases or aspects of staff recruitment.
  • Plans, implements, and monitors compliance with policies and procedures.

Required Qualifications

Bachelor's Degree. At least two years of experience in an Executive Assistant position or the equivalent. Supervisory experience and ability to foster and maintain a positive team-oriented environment. Demonstrated self-starter with excellent written and verbal communication skills. Ability to work effectively both independently and with minimal supervisor in a high-volume office. Ability to think strategically, creatively, and collaboratively. Demonstrated ability to manage multiple responsibilities effectively. Professional demeanor and ability to maintain confidentiality. Understanding of and commitment to high education.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than five years of experience in higher education administrative management. Experience with UT Systems, including Workday, DEFINE, FRMS, and UT Works. Familiarity with UT policies and procedures. Experience with Smartsheet, DocuSign, Adobe, Microsoft Office suits, Tableau, and other related external systems. Project management experience, including monitoring budgets and identifying issues. Demonstrated problem-solving experience managing multiple responsibilities.

Driving Required

This job requires a class "C" operator's driver's license. The applicant selected must provide a current three-year driving record from the current state of residence. If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident.

Salary Range

$65,000 + depending on qualifications

Additional Working Conditions:

  • Considerable walking, standing, squatting, stooping, and moving of heavy materials and equipment in all weather conditions.

  • May be required to lift up to 50lbs. Often required to twist, grasp, push, pull and bend.

Work Shift

  • 40 Hour Work Week Schedule; Monday-Friday, 08:00 AM – 05:00 PM
