Job Summary: Administrative Program Coordinator provides guidance on management control requirements and exercise sound judgment when handling matters that require executive clearance. This individual is particularly adept at evaluating administrative processes; driving efficiency and identifying staff needs to further the organization's mission. Expertise in financial and digital management, reconciling General Operating Expenses budgets, travel and training funds, and property procurement and inventory.

Major Duties:

  • As a Administrative Program Coordinator, you will: Support the administration and tracking of General Operating Expenses (GOE) budgets, including travel and training funds. Review financial data for accuracy and assists in reconciling reports in coordination with the Office of Finance. Ensure that financial transactions, authorizations, vouchers, and procurement requests comply with applicable policies, procedures, and regulatory requirements. Assist in monitoring budget execution and identifying discrepancies, bringing issues to the attention of management for resolution. Assist in the planning, formulation, development and promotion of policies and procedures arising within the Office of Operations' area of responsibility relative to administrative and fiscal policies. Participate in the initiation and preparation of administrative and policy directives and procedures as required. Frequently meet with program coordinators from other offices to develop uniform policy within the Agency. Serve as principal advisor to the organization on all administrative matters related to travel, training, and office space and logistics. Initiate or actively participate in developing and implementing related policies. Qualifications: To meet the minimum qualifications for this position, you must meet the specialized experience qualifications: To qualify for the Grade 12, you must have at least one year of experience equal or equivalent to the GS-11, it must include: Experience with budget and financial analysis that includes budget oversight, travel planning and managing training funds. Experience presenting data from multiple sources, documenting analysis, recognizing trends and making recommendations. To qualify for the Grade 13, you must have at least one year of experience equal or equivalent to the GS-12, it must include: Experience managing financial regulations, policies, and processes to organization-wide policy guidance. Experience leading cross-departmental projects that align administrative functions. Experience analyzing operating practices and identifying areas for workflow improvement. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Compliance - Knowledge of procedures for assessing, evaluating, and monitoring programs or projects for compliance with Federal laws, regulations, and guidance. Oral Communication - Expresse information (for example, ideas or facts) to individuals or groups effectively, considering the audience and nature of the information (for example, technical, sensitive, controversial); makes clear and convincing oral arguments).
