Position Summary:
Under the direction of the immediate supervisor, provides administrative and secretarial support. Participates in ensuring the smooth functioning of the unit’s operations. Acts as resource person for policies and procedures. Administers unit accounts. Assists in the organization of unit activities. Responsible for documents and files of the unit. Maintains computerized information systems.

Other Qualifying Skills and/or Abilities:
Ability to liaise diplomatically with different stakeholders. Demonstrated organizational skills and ability to multi-task. Demonstrated ability to prioritize and meet deadlines, working autonomously and under little supervision.
Experience working with contracts and different suppliers. Knowledge of Purchase requisition/ Purchase order and Change orders. Experience with reports to support projects and archive all the supporting documentation.
Comprehension of closing of projects ( documents received, archived, and PO balance). Ability to do data entry and update information in the internal system (contact list, budget, etc.)
Ability to communicate with professionals, general contractor and other suppliers for administrative matters (invoices, dates, lists, and payments). Experience working in close collaboration with other departments such as Procurement and Accounting.
Attention to detail and ability to draft, proof-read and edit document/correspondence and other material using appropriate spelling, grammar, and punctuation in English and French.
Discretion in dealing with confidential information. Must be client focused and service oriented. Knowledge of basic accounting principles.
Demonstrated ability to work in a computerized environment using word-processing, databases, spreadsheets, presentation software using Outlook, Visio , Minerva, Teams and Microsoft Suite, specifically with Word and Excel, and web resources.
Proficient in English and French spoken and written.
