We are seeking a highly organized and proactive Administrative Coordinator to join our team in Toronto

The Administrative Coordinator will support a group of consultants, will manage and streamline office operations by prioritizing tasks, delegating to clerical staff, processing and maintaining clients and vendors’ invoices most of the time.

This role involves managing calendars and ensuring high-quality document standards. Additionally, the assistant will handle complex inquiries and continuously improve administrative processes to support departmental efficiency.

The applicable base salary range for this role is $48,000.00 to 72,000.00

The base pay offered will be determined on factors such as experience, skills, training, location, certifications, and education. Decisions will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.

This is a hybrid role that requires being in the office 3 days a week.

We will count on you to:

  • Compile administrative information by researching sources, collecting and interpreting data, entering data, designing new formats for department use, and maintaining database information.
  • Supporting on pension related tasks.
  • Manage the issuance of invoices to certain clients and the account payable to various suppliers.
  • Ensure continuity of administrative work operations by documenting and communicating needed actions to management, discovering irregularities, and determining continuing needs.
  • Manage calendars, schedule meetings and resolve scheduling conflicts.
  • Processes completion of expense reports in a timely manner
  • Undertake general administrative duties and specific projects as required.
  • Continuously improve administrative job knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and benchmarking state-of-the-art practices.

  • Excellent time management and multitasking abilities.
  • Strong problem-solving skills.
  • High level of discretion and confidentiality.
  • Proficient in office software and database management (PowerPoint, Excel & Word).
  • Ability to work independently and as part of a team.
