Position Specific Responsibilities/Accountabilities
Events:
Schedule and manage events (mazevo.com);
Provide logistical support for institute events, including: scheduling, helping with set-up, arranging catering, and other coordination as needed.
Institute space:
Coordinate as needed with FM in the maintenance of institute spaces;
Assist with preparation of office space within institute for visiting scholars and artists.
Administrative tasks:
Take minutes for Advisory Council meetings;
Manage institute email inbox (MarymountInstitute@lmu.edu) and handle telephone calls;
Order and maintain office supplies for institute;
Provide administrative support for the director as needed;
Coordinate with campus partners as needed.
Bookkeeping:
Manage receipts and submit expense reports for Workday;
Complete end-of-year financial tasks as required by university.
Communications:
Assist director and MarComm with updates to MI website as needed;
Prepare and update printed materials as needed;
Assist the director with maintaining social media accounts as needed.
Perform other related duties as assigned:
Flexibility needed, within reason, for support on other tasks, yet unidentified, as needed, in order to address the goals of the Marymount Institute.

Requisite Qualifications
Typically a high school diploma or equivalent. Bachelor’s degree in the humanities or arts preferred. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.
Minimum of two years of experience in administrative and clerical support.
Demonstrated communication, organizational, and interpersonal skills.
Demonstrated computer competency in using typical office software, including MS Office (Word, Excel, PowerPoint, Outlook, Forms); skill in using basic office equipment (photocopier, scanner); and ability to learn university systems such as Workday and Mazévo.
