As Administrative Program Coordinator IV, you will support Global Mobility and International programs. This role requires a strong focus on contract management, administrative operations, expat payroll coordination, and policy implementation. Your duties include functioning as a liaison and operational resource, support the Director with daily work and special projects, lead or coordinate complex initiatives to ensure compliance, operational efficiency, and collaboration across internal teams and external vendors. Ultimately, your efforts help ensure Cleveland Clinic can continue delivering the best patient care experience possible.    

A caregiver in this position works a hybrid schedule, two days on site at CCF Administrative Campus and three days remote from 7:00 a.m. – 4:00 p.m. 

A caregiver who excels in this role will:  

Global Mobility & Program Operations:

  • Assist with implementation and ongoing maintenance of international programs
  • Serve as liaison between internal stakeholders, committees, and external vendors.
  • Coordinate policy evaluation, implementation, and compliance.
  • Identify operational improvement opportunities to enhance efficiency and effectiveness.
  • Lead or coordinate complex projects, major initiatives, or policy implementations.

Contract & Compliance Management:

  • Draft and manage staff and non-staff contracts.
  • Track contract expirations and renewal timelines.
  • Ensure compliance with organizational standards and program requirements

Payroll & Financial Administration (International / Expat Focus):

  • Prepare expat payroll authorization forms, worksheets, and data spreadsheets.
  • Partner with Payroll to ensure accurate processing of international payroll.
  • Conduct quarterly allowance audits for international assignees.
  • Audit and monitor international support stipends and Workday transactions post-payroll.
  • Track and process one-time payments for international locations and special projects.
  • Assist with year-end tracking and reporting for international programs.

Data, Reporting & Systems:

  • Collect, review, and maintain critical international assignee data, including:
    • Payroll information, Emergency contacts, Passports, EHP / Healthy Choice, and international assignee rosters
  • Update, monitor, and manage databases.
  • Develop scorecards, milestones, and reports to track progress and outcomes.
  • Analyze variances, discrepancies, and project performance.

Administrative & Coordination Support:

  • Manage schedules for interviews, travel itineraries, and repatriation meetings.
  • Assist with scheduling, coordination, preparation, and communication of meetings.
  • Facilitate and attend meetings; document key outcomes.
  • Research, analyze, and organize information for presentations.
  • Develop communications, databases, budgets, and interdepartmental education programs.
  • Assist with department orientation and training.
  • Perform other duties as assigned.

Minimum qualifications for the ideal future caregiver include:  

  • Bachelor’s Degreein Business Administration, Finance, Communications, Healthcare Administration or a related field and five years of administrative, financial or project management experience OR High School Diploma/GED and nine years of experience OR Associate’s Degree and seven years of experience OR Master’s Degree and four years of experience
  • Strong computer skills and experience with software applications 
  • Communication, multi-tasking, critical thinking and customer service skills 

Preferred qualifications for the ideal future caregiver include:  

  • Healthcare experience
  • Knowledge of project management and communication practices 
  • Experience in a leadership or supervisory role 
  • Office administration, event coordination, project coordination
  • Familiarity with Cleveland Clinic systems
  • Workday experience (preferred)
  • OPSA / HRIS background
  • Strong understanding of international programs, payroll processes, or global mobility operations

Physical Requirements:

  • High degree dexterity to operate office equipment and personal computer.
  • May require extended periods of sitting and frequent standing.
  • Good visual acuity through normal or corrected vision.

Personal Protective Equipment:

  • Follows standard precautions using personal protective equipment as required.
