The Administrative Coordinator II position is responsible for supporting the full range of operational activities for the Institute for a Disaster Resilient Texas. This position requires a proactive and detail-oriented individual who can effectively navigate various administrative tasks and contribute to the overall success of the Institute.

Qualifications

Required Education and Experience

  • Bachelors degree or equivalent combination of education and experience.

  • Three years of experience in office administration.

 

Required Knowledge, Skills, and Abilities

  • Ability to multitask and work cooperatively with others.

  • Knowledge of word processing and spreadsheet applications.

  • Interpersonal and communication skills.

  • Planning and organizational skills.

  • Ability to multitask and work cooperatively with others.

  • Knowledge of expense reporting standards and best practices.

Preferred Qualifications

  • Previous experience with TAMUS expense, administration, and reporting systems: Concur, Workday, Maestro, and AggieBuy.

  • Familiarity with organizational structure, policies, and procedures of the Texas A&M University System.

Responsibilities

  • Administrative Coordination- Participates in the planning and execution of administrative operations. Implements, coordinates, monitors, and evaluates policies and procedures and monitors compliance with policies and procedures. Reviews documents for supervisor. Attends meetings or committees on behalf of supervisor. Analyzes requirements for projects or initiatives. Provides technical information regarding administrative procedures, services, or programs. Coordinates travel arrangements and prepares itineraries. Coordinates meetings, seminars, and other special events and may provide on-site support. Serves as liaison with financial, payroll, and human resources units. Interprets System policies and regulations and University rules. Assists with the management of financial transactions, including assigning expenses to appropriate accounts and projects in Concur. Monitors institute expenditures plan against budget guidelines and aids the Associate Director and Senior Administrative Coordinator in developing projections. Coordinates and evaluates institute activities and events. Communicates with employees regarding personnel policies and procedures. Makes recommendations for process improvements, administrative changes, or new initiatives.

  • Office Management- Serves as the office manager. Monitors procedures for all three IDRT offices (College Station, Houston, and Galveston). Resolves operational and procedural problems.          Coordinates the maintenance of files, records, office supplies, equipment, and promotional items.                                       

  • Hiring and Training- Participates in the hiring, orientation, and onboarding of staff and student workers. Liaises with human resources units to support hiring processes. Identifies training and compliance needs.

  • This position requires compliance with state and federal laws/codes and Texas A&M University System/TAMU policies, regulations, rules and procedures.

  • All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and University safety requirements.
