A Glimpse of the Job
The Administrative Coordinator works under general supervision and provides administrative support for the Open Records team in the Division of Risk, Ethics & Compliance. Primary responsibilities include administrative support for the timely processing of open records requests, managing stakeholder communications, tracking regulatory deadlines, and facilitating compliance with record retention schedules.
Essential Duties and Responsibilities
Administrative Operations and Coordination
Manages communications for the Open Records team by actively monitoring the inbox and phone, providing status updates, and responding to inquiries from internal and external stakeholders
Reviews and prioritizes incoming open records requests to determine priority and escalates to appropriate personnel
Supports timely responses by tracking progress, monitoring deadlines, and providing regular updates to the appropriate personnel
Processes routine open records requests by researching, compiling, and preparing the necessary responsive documents
Compliance and Records Management
Maintains accurate and detailed logs to track the status, timelines, and statistics of all open records requests
Coordinates the maintenance, storage, and disposition of physical and electronic records compiled for open records responses in accordance with applicable retention schedules
Manages the preparation and tracking of regulatory filings and other compliance-related documents
Compiles and runs reports
Support and Coordination
Provides administrative support to the Open Records team in the handling of complex requests and daily operational tasks
Assists in developing cost estimates for requests and processes associated payments
Reviews office procedures to ensure regulatory compliance and operational efficiency

Required Education and Experience
Bachelor's degree or equivalent combination of education and experience
Two years of experience in office administration
Preferred Qualifications
More than 2 years of administrative experience
Experience with public information requests
Work experience in higher education or for a state or other government agency
Knowledge, Skills, and Abilities
Ability to handle sensitive and confidential information with discretion
Ability to multitask and work cooperatively with others
Knowledge of word processing, spreadsheet, database, and presentation applications
Interpersonal and communication skills
Planning and organization skills

This position requires compliance with state and federal laws/codes and Texas A&M University System/TAMU policies, regulations, rules and procedures
