The Administrative Coordinator I provides comprehensive administrative and operational support to the Executive Director for Rural Medicine, the Director of Rural Medical Education, and the broader team. Serving as the primary front desk point of contact, this role is essential to the daily success of a dynamic, fast‑paced office. The position supports office operations through calendar management, scheduling, travel coordination, financial processing, meeting preparation, purchasing, records management, and general administrative assistance. The ideal candidate is highly organized, detail‑oriented, and innovative, with strong professional judgment, excellent customer service skills, and exceptional written and verbal communication abilities.

Required Education and Experience
Bachelor's degree or equivalent combination of education and experience.
Two years of experience in office administration.
Preferred Qualifications
Experience supporting multiple team members in a fast-paced office environment.
Experience with travel coordination, purchasing, reimbursements, and scheduling.
Experience serving as a front desk or primary office contact.
Strong writing, editing, and proofreading experience.
Experience supervising or coordinating student workers.
Experience with Microsoft Office products, including Outlook, Word, Excel, PowerPoint, and Teams.
Comfort using AI tools and technology to improve efficiency.
Responsibilities
Administrative Support and Office Coordination
Provides day-to-day administrative support to the Executive Director for Rural Medicine, the Director of Rural Medical Education, and team members.
Serves as the front desk point of contact and welcomes visitors, students, faculty, community partners, and guests in a professional and courteous manner.
Manages calendars, schedules meetings, and coordinates appointments, ensuring efficient calendar management and prioritization of requests.
Prepares agendas, meeting materials, and supporting documents for meetings and office activities.
Tracks follow-up items and assists in ensuring timely completion of administrative tasks.
Drafts, edits, proofreads, and distributes correspondence, reports, and other written communications.
Assists with preparation of presentations and meeting materials.
Maintains organized records, files, and office documentation.
Provides general office coordination to support efficient daily operations.
Demonstrates professionalism, discretion, and excellent customer service in all interactions.
Travel, Purchasing, and Financial Processing
Coordinates travel arrangements, itineraries, and logistics for leadership and team members.
Processes travel reimbursements, mileage logs, and expense reports accurately and in a timely manner.
Assists with purchasing, payment processing, procurement requests, and supply ordering.
Tracks administrative and financial documents to support timely completion.
Ensures processes follow university and department procedures.
Serves as a point of contact for routine travel and financial coordination.
Meeting, Event, and Program Support
Coordinates logistics for meetings, events, trainings, and team activities.
Assists with scheduling, room reservations, communications, and materials preparation.
Provides administrative support for internal and external meetings and program activities.
Supports follow-up communication and coordination after meetings and events.
Records, Operations, and Team Support
Maintains office records, inventory, supplies, and administrative resources.
Assists with records retention and documentation processes.
Supports office operations and identifies opportunities to improve efficiency and workflow.
Utilizes AI tools and technology to enhance administrative processes and productivity.
May supervise, train, or coordinate the work of student assistants.
Performs other duties as assigned to support office and team needs.
