Primary Duties & Responsibilities:
Prepares, reviews and maintains interview schedule with applicants and COA members.
Schedules applicant interview days and tours.
Updates individual interview schedules in the Admissions online scheduling system as dictated by applicant and COA member availability.
Reviews, processes and completes applicant files in the Admissions application system. Scans and attaches incoming materials and credentials to application files. Verifies transcripts and maintains both electronic and physical files.
Arranges daily interviewee check-in, assists with interviewee orientation, produces photo IDs and answers questions. Provides a warm, welcoming and friendly environment for applicants.
Answers and appropriately replies to all inquiries from prospective applicants including: walk-ins, phone calls, e-mails and mail from prospective applicants.
Prepares admission material packets such as interview folders, event packets, and other recruitment materials. Prepares, addresses, and mails acceptance letters/packets.
Assists with annual admissions events. Participates in Second Look Weekend, COA Breakfast, COA Dinner.
Supports all Committee on Admissions meetings with setup and food orders. Maintains professional relationship with all COA members and Subcommittee Chairs.
Investigates and assists in various problem resolution and routine assistance in support of the department.
Attends meetings with staff, Director and Dean in Department. Meets with other Scheduling Assistants for cross training and collaboration.
Monitors and replies to Admissions Office email accounts. Picks up and distributes physical mail.
Assists with monitoring supplemental application fees, returning duplicate fee payments, and processing credit card refunds in payment system.
Covers front desk, phones and walk-ins for breaks, lunch and unscheduled absence.
Performs other duties as assigned.
