This posting is for a full-time, 12-month, 40 hours per week, non-exempt position. This position maintains accurate databases and processing reports for the Ed.D. Programs. In this critical position the individual communicates with candidates throughout the admissions process, updates files, and coordinates the summer institute. This individual will be responsible for keeping in touch with cohorts to provide updates each semester and advising students what courses to register for in coordination with the chairs. This position is also responsible for administering duties to the School Psychology program and providing support similar to the EdD Program. This position collects data for the EdD programs to share with the chairs. Along with those responsibilities, the person in this position assists with the day to day functioning of the College of Education and provides faculty support.
Essential Functions
This position requires regular, predictable, reliable attendance in the office environment.
1. First contact for all visitors to develop and maintain positive rapport with students, parents, employers, faculty and staff.
2. Answer phones and provide polite and efficient service to all callers.
3. Schedule appointments and coordinate meetings, conferences, dinners for faculty, and K-12 school faculty.
4. Maintain office supplies for COE faculty, staff, and TRC.
5. Coordinate and distribute mail for the college.
6. Coordinate office moves with Physical Plant and ITS and any off-campus suppliers.
7. Work with supplier (Friends, etc) to order appropriate office/conference room furniture.
8. Assist faculty with special projects.
9. Sort COE student files past retention guidelines (7 years) and scanned in archived files for future needs.
10. Maintain accurate database on Ed.D.
11. Coordinate interviews for potential doctoral candidates.
12. Provide continuous contact with each cohort about expectations for the semester, upcoming deadlines, course registration information, and next courses to take in the program.
13. Ensure that Ed.D. program assessments are being submitted in Watermark and students are being coded. Download data reports for chairs.
14. Plan summer institute in coordination with the Chairs of the Doctoral Program.
15. Organize Graduate dinners, student teacher dinners and other events throughout the year.
16. Maintain files, forms, and other College of Education information for the College of Education.
17. Maintain oversight of Student teacher folders for the field experience office.
18. Fill orders through OhioLink. Approve and process dissertations.
19. Collaborate with The Clubhouse Coordinator for Clubhouse events.
20. Maintain accurate database and files for the School Psychology program.
21. Record the minutes from EdD meetings, licensure meetings, and COE Dean’s Advisory Board.
22. Perform general clerical duties including file maintenance, photocopying, greeting public, answering phones, running errands, processing mail, and data entry. All forms and spreadsheets should be up-to-date and housed on the UF server.
23. Compile information for folders to give to teacher candidates, cooperating teachers and University supervisors.
24. Create program for the student teacher dinner fall and spring semesters. This includes tracking attendance for the event, creating name tags for attendees and being present at the dinner to greet teacher candidates, cooperating teachers, building principals and University supervisors.
25. Coordinate and distribute mail for the office.
26. Perform all other duties deemed necessary for this position.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, cameras, records, monitoring devices, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
Position Type and Expected Hours of Work
This is a full-time 12-month position, and general hours of work and days are Monday through Friday, 8:00 a.m. to 4:30 p.m.
Travel
No travel is expected for this position.
Required Education and Experience
1. High school diploma.
2. Three years of administrative office experience.
3. Knowledge of Microsoft Office.
4. Accuracy in data entry and analysis for report writing required
Preferred Education and Experience
1. Associate’s degree.
2. Librarian experience as well as experience supervising student workers and graduate assistants preferred.
