Our Avionics Technology and Development team is seeking an Operations Administrative Coordinator to support the leadership team and key functional teams.You will play a vital role in planning and coordination activities for Operations, engineering, and program management teams providing the leadership team with high quality administrative support. You will collaborate with a team of 8 while providing support to extended teams and representing our team as you interface with business leaders across Collins Aerospace. You will perform a wide range of administrative tasks and take ownership of new tasks and projects as they arise. 

 

To be effective in the role, you should be skilled in operating in a fast-paced work environment and delivering under time constraints. You should be able to multi-task while maintaining attention to detail. You should be a self-starter, detail-oriented, and technically savvy with excellent written and verbal communication skills to adapt to competing priorities. A high level of professionalism and the ability to maintain discretion and confidentiality of information should be intrinsic 

 

This is an onsite position located in Cedar Rapids, Iowa.     

 

WHAT YOU WILL DO: 

  • Be proactive and highly responsive providing administrative support to leadership.  

  • Efficiently manage complex calendars for leaders, coordinating with senior leaders in a dynamic, fast-paced global environment. Proactively resolve scheduling conflicts using priority-based decision-making. 

  • Support agenda preparation, briefings, presentations, correspondence, spreadsheets, and arranging supplies or meals for meetings and events as needed. 

  • Arrange smooth travel accommodations (air/hotel/transportation) for domestic and international business travel; ensure necessary documents and processes are followed in advance of the trip using a variety of processes and tools.  

  • Process expense reports and invoices in a timely manner in accordance with company policies and procedures.   

  • Schedule and coordinate logistical details for virtual meetings, face-to-face meetings, and team events, such as agendas, guest speakers, conference rooms, virtual recording, and virtual break out rooms (via zoom), catering, digital technology support, and more.   

  • Schedule and attend staff meetings and all hands, record and distribute meeting notes, capture action items, execute assigned tasks, and handle other routine communications. Support other meetings as needed to capture notes.   

  • Coordinate and execute employee engagement team events and inter-departmental activities. 

  • Proactive email management and urgently communicating priority actions.  

  • Maintain office supplies for department, including tracking, ordering, and organizing. 

  • Draft email communications and announcements at an organizational level. 

  • Maintain organization charts and distribution lists. 

  • Conduct all interactions with integrity and professionalism. 

  • Maintain strict confidentiality of all information and data.  

  • Work collaboratively with other Avionics administrative assistants. 

  • Support the onboarding and personnel exit processes.  

  • Travel up to 15% for support. 

QUALIFICATIONS YOU MUST HAVE: 

  • Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience. 

  • 6+ years’ experience in administrative support. 

  • Experience with email systems and Microsoft office suite tools (MS Word, Power Point, Excel), electronic collaboration tools, and video conferences. 

  • Experience with calendar management, meeting scheduling and coordination, planning events, expense reports, and data reports. 

  • Experience using advanced functions in Microsoft Office 365 Suite.  

 

QUALIFICATIONS WE PREFER: 

  • Experience with Concur, Ariba and SAP are highly preferred. 

  • Experience working on mobile devices and using this technology to increase productivity. 

  • Driven self-starter capable of working autonomously in a highly visible, fast-paced, high-pressure environment. 

  • Ability to respond quickly and adapt effectively to non-routine requests and situations with accuracy. 

  • Ability to anticipate needs, be proactive, and apply sound judgment when making decisions. 

  • Ability to work effectively in a team and matrixed environment. 

  • Excellent time management and organizational skills with attention to detail and responsive to customer needs. 

  • Self-starter, willing to learn and grow, ideally interested in technology and people growth. 

  • A team player who is proactive, flexible, results-oriented and comfortable in a fast-paced, changing environment and able to work independently with minimal direction. 

  • Ability to learn processes and tools quickly with minimal training.

The salary range for this role is 101,000 USD - 203,000 USD. The salary range provided is a good faith estimate representative of all experience levels. RTX considers several factors when extending an offer, including but not limited to, the role, function and associated responsibilities, a candidate’s work experience, location, education/training, and key skills.
