The Opportunity

Our Glacier Valley Area of Canada Gas Operations has an opportunity for an Administrative Associate to join the team based in Cranbrook, British Columbia.

The Administrative Associate provides critical administrative, coordination, and operational support to a field-based natural gas transmission operations team, enabling safe, efficient, and compliant execution of day‑to‑day activities. This role works closely with managers, technicians, and regional support functions to coordinate budgeting, expenses, training, fleet administration, and office operations. This individual plays a key role in supporting planning, tracking, communication, and continuous improvement across the team.

What You’ll Do

  • Collaborate with FWP and Technicians to prepare accurate monthly forecasts
  • Maintain a full understanding of actuals versus forecast versus remaining budget
  • Communicate monthly budget status to the manager and escalate concerns as needed
  • Review invoices for accuracy and collaborate with the budget coordinator while meeting timelines
  • Lead annual budget preparation in close collaboration with the manager and FWP
  • Share budget updates during team meetings
  • Complete team expense submissions on time and in accordance with corporate expense policy
  • Review expense items for accuracy, coding, and policy compliance and escalate concerns to the manager
  • Process JV expenses as required, including uninsured loss and PM06 vehicle expenses
  • Track PPE, clothing allowance, and shoe expenses for manager PowerBI reporting
  • Understand team training requirements and current training status
  • Arrange required training and coordinate cross‑team and vendor‑specific training opportunities
  • Request new training vendor approvals and ensure vendors are approved
  • Maintain accurate training records
  • Support the manager with team meeting agendas and presenters
  • Coordinate meeting logistics including travel, accommodation, meals, and rooms
  • Manage vehicle fleet administrative activities including registrations, insurance, orders, and disposals
  • Communicate team changes to the regional fleet coordinator to ensure systems are updated
  • Participate in office inspections and enter findings into SAP as applicable
  • Annually update bulletin boards, compliance cabinets, and first responder materials for trucks
  • Monitor weekly technician time entries to ensure correct time coding and ESDC compliance
  • Manage office supplies and consumables to maintain adequate stock
  • Coordinate shipping, receiving, and distribution activities accurately and on time
  • Mentor and onboard new employees on administrative processes
  • Take responsibility for a regional portfolio
  • Attend and host quarterly associate meetings as assigned

Minimum Qualifications

  • High School Diploma or equivalent education/certification
  • Strong organizational and coordination skills
  • Clear written and verbal communication skills
  • Ability to work across multiple stakeholders
  • High attention to detail and strong follow‑through
  • Demonstrated commitment to safety, compliance, and continuous improvement
  • Strong knowledge of corporate expense and compliance policies
  • Ability to manage multiple priorities and meet deadlines

Preferred Qualifications

  • Experience with budget forecasting and variance tracking
  • Experience reviewing invoices and financial documentation for accuracy
  • Familiarity with SAP for inspection findings and administrative entries
  • Experience coordinating training programs and managing training vendors
  • Experience managing fleet or asset‑related administrative activities
  • Experience supporting managers with team planning and logistical coordination
  • Experience tracking and reporting data using tools such as PowerBI
