Part-time Administrative Assistant/Receptionist

Megazyme, part of Neogen Corporation, is an award-winning biotechnology company manufacturing test kits and reagents for the food, beverage and related industries.

We are seeking to recruit a part-time Administrative Assistant/Receptionist to join our team in Bray, Co. Wicklow.
The successful candidate will be required to work two consecutive days per week, Tuesday and Wednesday, and have flexibility to work additional days if/when required.  You will be working with one other part-time colleague on the basis that there will be one Administrative Assistant/Receptionist on duty Monday to Friday.  It is a requisite of the role that you will be available to cover the annual leave of the role partner.

Key duties and responsibilities include:

  • Monitoring of stationery levels and update of Excel spreadsheets.
  • Responsibility for Petty Cash - reconciliation of receipts and provision of monthly petty cash report to Finance.
  • Organising and recording travel laptops, IT equipment, etc.
  • Arranging meeting rooms, taxis, lunches etc. for visitors to site.
  • Booking of catering/corporate lunches as required by colleagues.
  • As a member of the company Wellbeing Team research and organise company wellbeing events.
  • Review and update administrative SOPs and other documentation.
  • Provide administrative support and back-up to Line Manager and HR team.
  • Provide administrative support to colleagues where required.
  • Front desk reception - meet and greet all visitors, service personnel etc., interacting professionally with all internal and external customers.
  • Liaising with all contractors, ensuring public liability insurance is up-to-date, etc.
  • Dealing with incoming e-mail queries, sorting and forwarding mail to appropriate personnel.
  • Answering all incoming telephone calls, screening and passing to relevant personnel, taking messages as required
  • Handling incoming and outgoing post and deliveries
  • Ensuring all equipment in administration area is stocked correctly and running efficiently (e.g., photocopier, shredder, fax machine)

Requirements:

  • Previous experience working in a professional office environment.
  • High level of fluency in English (written and spoken) essential.

The successful candidate will demonstrate:

  • Excellent typing skills with high proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong attention to detail, with excellent organisational and administrative skills.
  • Flexibility.
  • Ability to multi-task and work on own initiative as well as part of a team.
  • Professional, friendly manner.

This is a permanent position. Competitive salary offered. Must be eligible to work in Ireland. Full training will be provided.
