The Administrative Assistant provides frontline administrative and visitor support in a manufacturing environment. This position reports to the Plant Manager This role is onsite and at our Franklin, NH. The position requires discretion, strong organizational skills, and the ability to manage multiple priorities while adhering to safety, security, and site requirements.
Primary Job Duties and Responsibilities
Serve as the primary point of contact for visitors, vendors, contractors, and guests.
Greet visitors, issue badges, and ensure compliance with safety, security, and facility requirements.
Coordinate visitor logistics including meeting rooms, escorts, PPE requirements, and site access.
Communicate visitor arrival information to hosts and leadership
Provide administrative support to the leadership team, including scheduling meetings, preparing documents, and managing correspondence.
Maintain calendars, conference room schedules, and meeting logistics.
Assist with preparing reports, presentations, training materials, and other documentation as needed.
Manage incoming and outgoing mail, deliveries, and office communications.
Assist with purchase orders, invoices, supply ordering, and tracking as assigned. Coordinate office supplies and support shared service areas (conference rooms, reception areas, breakrooms as applicable).
Support compliance with site policies, safety expectations, and confidentiality requirements.
Communicate effectively with leadership, employees, vendors, and visitors to ensure smooth daily operations.
Model professional behavior and reinforce site expectations with visitors and vendors.
Perform other administrative and clerical duties as assigned to support operational effectiveness.
Required Qualifications
High school diploma or equivalent required; associate degree or administrative certification preferred
3+ years of administrative or office support experience, preferably in a manufacturing, industrial, or regulated environment
Strong organizational, time‑management, and multitasking skills
Excellent verbal and written communication skills
Proficiency with Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
Ability to handle confidential information with discretion
Professional demeanor and customer‑service mindset
Experience supporting leadership or management teams
Working Conditions:
While performing the job duties, you will be working on-site in a manufacturing facility. You will be required to work at the Company’s Franklin location in Franklin, NH. Your scheduled work hours will be communicated to you by your manager.
Physical Requirements: Specific physical abilities required for this position include, but are not limited to:
· Ability to remain seated at a desk or workstation for extended periods.
· Ability to perform repetitive tasks like typing on a keyboard or using a mouse for extended periods.
· Ability to physically move around the office, organize or transport files, packages, or other office-related materials.
· Ability to read documents, use a computer, and perform data entry tasks.
· Ability to communicate clearly with management and coworkers, particularly in meetings or phone calls.
· Ability to operate standard office equipment such as computers, printers, phones, and copiers.
· Ability to occasionally lift and carry light objects, such as office supplies, documents, or small equipment.
