Administrative Assistant
Your New Role
We’re looking for a friendly, organized Administrative Assistant who loves creating a welcoming vibe and keeping things running smoothly. You’ll play a big role in shaping the studio experience every day. This position is onsite, Monday - Friday.
Your Role Responsibilities
Serve as the primary point of access for the Studio. Ensure all employees and visitors sign in and wear badges.
Maintain front desk coverage to greet vendors, deliveries, and guests, providing a professional and welcoming first impression.
Ensure all guests complete sign-in procedures and execute required NDAs, tracking and organizing signed documents for compliance.
Build strong relationships with staff and regular visitors
Actively engage with and assist in the planning and execution of staff morale events (including idea generation, vendor and venue research, ordering supplies, RSVPs, day of support, and payment assistance)
Partner with HR in the new hire onboarding process
Support the WB Games team by helping organize weekly meetings; book travel; fill out expense reports; order team lunches; and keep office supplies stocked
Oversee the upkeep and stocking of all kitchen and common area supplies; including but not limited to beverages, dry goods, fruits, snacks and other as needed items & goodies
Keep our space looking great by lightly dusting display cabinets and tidying conference rooms, common spaces, and the break room
Own ordering and inventory management of office and kitchen supplies.
Assist Coordinating with building management and external service providers for maintenance and repairs.
Ensure all guests complete sign-in procedures and execute required NDAs, tracking and organizing signed documents for compliance.
Assist finance team with monthly preparation of Purchasing Card reconciliations when Office Administrator is unavailable.
Serve as backup to Office Administrator for updating and maintaining accurate vendor data (including Address, Contact Info, Bank Info, Payment terms, Payment status, etc.)
Provide studio wide administrative support as needed
Act as backup in Office Administrator absence
Qualifications & Essentials
0-2 years of administrative experience
Proficiency with MS Office including Outlook, Excel, Word and PowerPoint
Excellent written and verbal communication skills
Ability to organize information in a clear and concise manner
Solid Project Management skills, ability to manage multiple priorities
Self-motivated with demonstrated initiative and ability to work independently
Ability to adhere to confidentiality requirements and protection of sensitive data
Ability to lift up to 25 lbs. and perform light physical work (setting up events, moving supplies).
The Nice-to-Haves
Event planning experience is a plus
