Location: Brussels Head office – Markiesstraat 1 Rue du Marquis, 1000 Brussels.
We are looking for an Administrative Assistant, responsible for the Sales and Marketing departments. Your role encompasses a wide variety of administrative tasks to support the overall sales organization and the marketing department. You will also be the back-up for your assistant colleague with similar responsibilities. The overall role requires capabilities to adequately organize/plan your work, a lot of autonomy on the one hand, and a great team collaboration on the other hand.
More details on your primary activities are:
Provide administrative, organizational, and secretarial support to both the Sales & Marketing departments.
Management and follow-up of the agenda of cross-functional teams.
Give administrative support to the Sales Managers and Brand Managers.
Support the organization of internal and external meetings (incl. invitation process, stand building, hospitality,….).
Help to onboard/offboard Regional Managers (Sales team in the field).
Financial admin support: prepare and follow-up of vendors/creation of purchase orders.
Be the steward for your department (DRIM) for the Record and Information Management system applicable within Lilly.
Support/back up in the ASC (Administrative Support Center), responsible for “mailings”, internal and external deliveries & material stock management.
Profile/Enablers:
You are able to work independently and accurately.
You are very good in planning and organization.
You have good communication skills (internal and external).
You speak/write/read fluently Dutch or French (both is a plus).
Good knowledge of English.
Being able and comfortable working with MS office.
Some technical skills (eg copycenter).
Reliable and responsible.
You are punctual, dynamic and assertive when necessary.
