The Administrative Assistant provides operational and systems support to the Regional Business Manager and program leadership to help ensure accurate administrative, financial, and documentation workflows across the business location. This role supports coordination between program operations and the regional business office by utilizing systems such as Workday, Ramp, Therap, and other internal reporting tools.
The Administrative Assistant helps ensure expenses, documentation, and operational records are processed accurately and aligned with the appropriate programs, cost centers, and budgets. This position supports administrative coordination, system-based workflows, and operational projects while relying on direction from the Regional Business Manager.

SUPERVISORY RESPONSIBILITIES:
This position has no supervisory responsibilities.
DUTIES AND RESPONSIBILITIES
Operational and Systems Support
- Assist the Regional Business Manager with operational workflows that support accurate financial and program reporting.
- Utilize internal systems such as Workday, Ramp, Therap, and other reporting tools to support documentation, administrative processes, and operational tracking.
- Support expense management workflows including receipt tracking, transaction coding assistance, and documentation compliance through systems such as Ramp.
- Help ensure expenses and operational records are allocated to the correct program, cost center, or budget category to support accurate financial reporting.
Operational Coordination
- Serve as an administrative liaison between program operations and the regional business office to help ensure operational and financial workflows are completed accurately and on time.
- Maintain accurate operational and program documentation within company systems and coordinate with program staff to resolve missing or incomplete information.
- Coordinate with department leaders and staff to gather information needed for administrative and financial processes.
Administrative and Project Support
- Support the Regional Business Manager with operational projects, reporting needs, and process improvements.
- Assist with implementing and maintaining system-based workflows that improve administrative efficiency, including the use of automated tools where applicable.
- Provide administrative coordination to support program operations and regional business office functions.
Additional Responsibilities
- Provide professional interaction with staff, visitors, and external contacts.
- Perform other duties as assigned.
MINIMUM QUALIFICATIONS
- High School Diploma or GED required
- Proficiency with computers and Microsoft Office applications including Excel and Outlook
- Ability to learn and effectively use operational systems such as Workday, Ramp, Therap, and internal reporting tools
- Strong organizational skills and attention to detail
- Strong verbal, written, and interpersonal communication skills
- Ability to manage multiple administrative and operational tasks in a fast-paced environment
PHYSICAL DEMANDS AND WORK ENVIRONMENT
- Must be able to regularly lift and carry up to 15 lbs. and occasionally pull at least 10 lbs.
- Must be able to squat, kneel, crawl, crouch, climb, and stoop as part of regular job duties.
- Must be able to use hands and fingers to handle or operate objects, tools, or controls.
- Required to stand and walk for extended periods.
- Must be able to demonstrate proficiency in CPR from floor level, which requires working on hands and knees, bending, standing, and lifting.
- Vision requirements include close, distance, and peripheral vision.
- Must be able to talk and hear.
- Exception – Deaf and Hard of Hearing Programs: For these programs only, employees must be fluent in American Sign Language (ASL). The requirement to talk and hear does not apply.
