Administrative Assistant / Receptionist

Job Description

What is the opportunity?

             

This position is responsible for creating a professional and welcoming first impression for all guests and clients visiting the office. Additionally, this role will organize and manage the front area while providing administrative support to fellow team members in the office.

What will you do?

  • Greet and assist all visitors to the office in a professional and courteous manner

  • Maintain the front desk area and boardrooms to ensure all are tidy and well kept

  • Answer, screen and forward any incoming phone calls while providing basic information or referring inquiries

  • Handle mail and couriers

  • Calendar management through MS Outlook including maintaining boardroom schedules and calendars.

  • Order office supplies and ensure inventory is stocked

  • Manage the kitchen area including stocking beverages and loading/unloading the dishwasher

  • Support with presentations and the preparation of documentation including typing up basic correspondence and letters

  • Coordinate and support the development and distribution of meeting materials, including printing and binding or preparing presentation materials

  • Ensure new client contact information and the overall management of appointments and client data are updated via Outlook and CRM system

  • Prioritize as needed and work with the teams to proactively identify potential needs

  • Additional back-office support as requested

What you need to succeed?

  • Minimum 2-3 years in a similar Reception or Front Desk role

  • Strong orientation and commitment to providing superior customer service

  • Professional and polished demeanor

  • Exceptional communication skills, verbal and written

  • A proactive approach with the ability to anticipate needs

  • Detail oriented and thorough

  • Team based support at various levels is considered an asset,

  • Strong proficiency in Microsoft Outlook, Word, Excel, Adobe Acrobat, Power Point

  • Able to take initiative and focus on productivity
