We are seeking an Administrative Assistant, Real Estate Experience to join Brookfield Properties in New York, NY. In this role, you will play a key role in providing comprehensive administrative and operational support to the Marketing and Experience teams, helping ensure marketing initiatives, events, reporting, and vendor processes run efficiently. This entry-level role serves as a key resource for reporting, platform management, financial tracking, contract administration, and event coordination, ensuring efficient processes and accurate documentation across departments. The position is ideal for a highly organized professional looking to build a career in marketing, real estate, or business operations.
Project Management & Reporting
Manage and maintain the PowerBI reporting dashboards, including exporting and distributing monthly regional reports to marketing leads, analyzing data to identify trends, insights, best practices, and strategic recommendations
Oversee the administration, maintenance, and optimization of project management and reporting systems, including Braze, VTS, Egnyte, Bynder, and Monday.com, while providing user support, troubleshooting issues, and coordinating training resources to ensure effective platform adoption
Create and maintain various Excel and Word tracking and reporting documents, including but not limited to weekly time tracking, Monthly Event Summary, Attendance and Master Event Trackers, to ensure accurate event reporting and centralized program data management
Serve as liaison to the public for inquiries related to special events, rentals, and programming via designated email accounts (Rentals@brookfield.com and artsandevents@brookfieldproperties.com), providing timely information and coordinating with internal teams as needed
Provide administrative and project coordination support for additional marketing initiatives and special projects as assigned, assisting with organization, documentation, tracking deliverables, and ensuring timely completion
Expense & Invoice Management
Manage invoice coding and processing, oversee purchase-to-pay (P2P) invoices and vendor procedures, and maintain budget ledger tracking for national, regional and property marketing budgets to support accurate financial management and reporting
T&E and P-Card expense report management, , ensuring proper coding, supporting documentation, and compliance with company expense policies
Vendor Administration
Manage the execution and administration of vendor agreements, event contracts, and marketing contracts using DocuSign, while maintaining organized digital filing systems, monitoring renewals and expirations, and conducting annual template audits
Follow up with vendors and property management as needed to ensure vendors are entered in a timely manner
Other
Coordinate internal and external meetings for the marketing team, managing scheduling, logistics, and preparation of materials to ensure well-organized and effective meetings
General administrative responsibilities as directed
H.S. diploma required, Bachelor’s degree in Marketing, Business, Communications, or related field preferred
2-3 years of administrative, marketing, or internship experience
Advanced proficiency with Microsoft Office products, especially Microsoft Excel, Word, and PowerPoint
Experience with reporting and project management platforms us a plus
Strong organizational and time-management skills with exceptional attention to detail
Strong written and verbal communication skills
Organized, positive energy, and customer-service oriented, managing multiple priorities in a fast-paced office environment
Exceptional professional discretion when handling contracts and financial information

Compensation & Benefits:
Salary Type: Non-Exempt
Pay Frequency: Bi-weekly
Annual Base Salary Range: $70,000 – $85,000
Medical & Pharmacy Coverage: Yes, under Brookfield Medical Plan
