The Ohio State University College of Dentistry is seeking an Administrative Assistant for its Division of Restorative Science and Prosthodontics. The division focuses on replacement of missing teeth and esthetic restorations through complete oral rehabilitation including an understanding of the dynamics of a smile, the preservation of a healthy mouth and the creation of tooth replacements. Faculty, students and staff collaborate with general dentists, specialists and other health professionals to develop solutions to dental and oral health concerns.


The Ohio State University College of Dentistry is the fourth largest public dental school in the United States, and it is the only public dental school in Ohio. The college is divided into eleven divisions with all major ADA-recognized dental specialties represented. The College has approximately 600 students in its undergraduate and graduate programs.


The Administrative Assistant provides clerical and administrative support including oversight of personnel actions process and record keeping; researching and analyzing materials, information, programs, policies and procedures; and advising the Chair, other administrators, and staff on such matters; takes priorities from the Chair to operationalize departmental goals and strategy; represents the Chair and/or the Division to the administration, students, outside organizations, and community; assumes some responsibility in the Chair's absence; perform duties for the Division and its individual faculty as requested; assigns faculty and staff as final practical and examination proctors, and assists with student exam scoring and grade scanning for College courses; facilitates seminar announcements and speaker arrangements; assists faculty with promotion and tenure dossiers; facilitates the travel, procurement and reimbursement process for the Division; assists Division faculty with preparation of student materials such as course manuals, handouts, examinations, and grade postings, as well as preparation of manuscripts, articles, charts, graphs and grant applications.


Work Schedule is Monday - Friday, 7:30 a.m. to 4:30 p.m., on-site.

The targeted hiring pay range for this position is $18.37 - $23.99 per hour based on education and experience.


This position requires successful completion of a criminal background check and drug and alcohol screening.


Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions. This position requires sustained periods using a keyboard and performing other computer work. Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.


Required: High School diploma or GED and 1 year experience in customer service or communications, including researching, analyzing & interpreting information and budgeting. Must be able to manage multiple projects, priorities and deadlines successfully, while maintaining a positive, service-oriented outlook. Must have Microsoft Office expertise.


Desired: 2-4 years of experience in supporting a division leader or similar position with extensive administrative support of multiple busy professionals. Experience with Adobe Creative Suite 5 and software, and with Research in View (OSUPro).
