Administrative Assistant
Kx Advisors is seeking an Administrative Assistant to support our team of Partners and employees in our Washington, D.C. office. This role is central to creating an exceptional employee experience, ensuring seamless day-to-day operations and fostering company culture.
Key Responsibilities
- Serve as the point of contact for all office-related requests.
- Greets and welcomes visitors.
- Receives, sorts, and distributes mail and packages.
- Maintain conference rooms, monitor calendars, resolve conflicts, and ensures rooms are meeting-ready.
- Track inventory of office supplies, pantry items, and company swag.
- Sets up new employees in office security system; distributes FOBs.
- Supports supervisor with various department and agency projects.
- Supports Senior Leadership and HR on projects as needed.
- Assist with ad-hoc projects across departments as needed.
- Coordinates events: On and off-site entertainment, venues, food, etc.
- Meetings (Internal and Client): Preparation of conference rooms, supplies, catering and support.
- Reconciles company AMEX expense reports, including executive leadership team.
- Maintains a tidy, well-organized, and welcoming office environment, proactively identifying. areas for improvement in cleanliness and functionality.
- Keep a continuous pulse on the office monitoring morale, workflow, and day-to-day dynamics to anticipate needs and elevate the employee experience.
- Completes time sheets and expenses in a timely manner.
- This role will be on-site/in-office 5 days a week .
Preferred Qualifications
- Bachelor’s Degree or equivalent work experience
Professional experience in administrative, office management, or executive support
- Accurate and proficient note-taking abilities
- Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills
- Advanced proficiency in Microsoft Office Suite (e.g., Teams, Word, Excel, PowerPoint, and Outlook)
- Upholds the highest standards of confidentiality and data privacy.
Salary Range: $50,000 - $60,000 + Overtime Eligible
The salary range provided represents what a potential hire may expect to earn in this role at BGB. Actual salary decisions will be influenced by several factors that we use to determine overall fit, including experience (both direct and indirect), education, training, demonstrated qualifications, and organizational need.
