Job Summary (basic description)

The Administrative Assistant provides various levels of support to the local office.  The primary area of focus is assisting legal assistants and the Office Administrator with providing a full range of support to the attorneys – for example, proofreading and editing, troubleshooting billing and other administrative issues, preparing presentation and marketing materials.  The Administrative Assistant also partners with numerous departments and external sources to facilitate smooth operation of the office.  Excellent writing/grammatical skills and computer proficiency are a must.

The successful candidate is a highly motivated, organized, detail-oriented collaborator with the ability to simultaneously work on different tasks.

Essential Functions

  • Provide legal support services.
    • Assist with prebills as requested, including proofreading and editing.
    • Trouble shoot billing and insurance related issues.
    • Assist with preparing for presentations as needed (i.e. generating training and pitch materials).
    • Prepare client engagement letters.
    • Close case matters.
    • Word processing/document creation as requested.
  • Function as liaison and trouble shooter with internal departments and outside contacts on administrative and legal issues as needed and requested.
  • Process invoices and monthly expense reports in Concur.
  • Provide office services support.
    • Schedule/coordinate service calls as needed.
    • Monitor and order office and other supplies, including taking and maintaining inventory on a regular basis.
  • Provide other administrative assistance as appropriate and requested.

Qualifications/Skills Required

  • Strong verbal and written communication skills.  Experience with formal proofreading and editing preferred.
  • Ability to multi-task, be flexible and timely meet deadlines.
  • Possess working knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Strong people skills and ability to work well in a cooperative office environment; communicate with attorneys and support staff on every level.
  • Strong organizational skills.
  • Self-starter, able to work independently, able to problem-solve.
  • One year of experience in a legal environment preferred.

Educational Requirements

  • 4-year college degree, preferably English/Writing.

For California, the expected salary range for this position is between $27.00 and $34.00 per hour.   The actual compensation will be determined based on experience and other factors permitted by law.
