Job Description
Primary Purpose of JobKey Responsibilities:
Independently manage leader(s) calendar and meeting prioritization across time zones. Schedule meetings and/or conferences by interacting with internal/external clients/partners to coordinate calendars, meeting materials and supplies, booking conference rooms/meeting rooms as and when needed.
Working on meeting agenda and aligning with other Admin partners/leaders, take notes/minutes of the meeting or ensure leader is informed of pending requests or requests where follow-up is required; may read and respond to emails and requests on behalf of the leaders;
Prepare expense reports, managing travel, accommodation, taxi, coordinating internal/external communication for planning travel for leader and keeping track of expense and travel budget etc.
Support leaders with onboarding/offboarding of employees, raising service now tickets, maintaining DLs, organization chart, ordering supplies, maintaining SharePoint site, invoicing/vendor management through Ariba or other internal portals. Respond to ad hoc requests and provide project/program support representing the team (researching issues or questions about policies or practices etc)
Coordinate/administer department programs (recognition, timekeeping, managing conference rooms, catering services etc.), Support in data collation for staff meetings, townhall presentation, offsite and other leader communication, Active members of employee engagement teams within the business area, act as coordinator to initiate request from Recognition platform for their business area etc.
May back-up other administrative assistants.
Required qualifications:
Proficiency w/ computer programs (MSWord, Excel, PowerPoint, Access) and administrative programs (Outlook, Ariba, Concur, SharePoint etc.)
Ability to multi-task, quickly change direction and independently prioritize work in order to support multiple people.
Ability to anticipate needs and use independent judgement given limited availability of leader.
Ability to exercise discretion due to accessing and handling sensitive information.
Preferred qualifications:
Proficient in Outlook, Excel, Salesforce, MS Teams, BOX.
Experience of working in multinational companies/ US based company.
