Join our dynamic team as an Administrative Assistant II and become a vital partner to our Director and Vice President-level leaders. In this role, you’ll support top executives by expertly managing complex calendars, coordinating meetings and travel, preparing impressive reports and presentations, and ensuring seamless day-to-day operations. Your proactive approach and organizational skills will contribute directly to our company’s success.

Responsibilities:

  • Efficiently manage complex inquiries from both internal and external sources, acting as a liaison between executives, staff, and stakeholders.

  • Prepare, edit, and manage detailed reports, presentations, and complex spreadsheets to support various administrative and business operations.

  • Maintain and update databases with accurate data entry, ensuring compliance with company policies.

  • Coordinate and provide advanced support for meetings, business meals, onsite events, and conference room logistics, including calendar management and travel arrangements for senior leaders.

  • Prepare and submit expense reports, purchase requisitions, and support budget planning and vendor management.

  • Edit, format, and distribute communications, presentations, and business documents on behalf of executives and leadership.

  • Support IT and Facilities teams with conference room and public area maintenance, and manage office supplies and front desk operations, including visitor check-ins.

  • Handle confidential information with discretion and professionalism at all times.

  • Assist with onboarding, training, and employee engagement activities, including team-building initiatives.

  • Provide backup support to the administrative team and assist in project planning, execution, and documentation as needed.

Qualifications You Must Have:

  • High school diploma or equivalent.

  • 3+ years of relevant experience in office administration or administrative support role.

  • Higher level relevant degree may substitute for experience.

  • Proficient in Microsoft Office Suite (e.g. Word, Excel, Outlook, Teams, OneNote and SharePoint Online) and Travel and Expense Platforms (e.g. Concur).

  • General knowledge of administrative practices, including expense reporting, purchase requisitions, and coordinating meetings, events, and travel.

  • Foundational knowledge of project management applications (e.g., Microsoft Project, Smartsheet) and ticketing systems (e.g., Service Now).

  • Excellent communication, problem-solving, and organizational skills.

  • Professional demeanor and ability to handle sensitive information with discretion.

Qualifications We Prefer:

  • Associate’s degree in Business Administration or related field.

  • Experience in the Aerospace and Defense industry.

  • Advanced knowledge of Workday or similar HRIS systems.

  • Certifications such as PACE (Professional Administrative Certification of Excellence) or CAPM (Certified Associate in Project Management) are a plus.

  • Experience with Concur Travel and Expense platform or other travel management systems.

  • Experience working in a U.S. military or Department of Defense (DoD) environment.

Essential Functions:

  • Ability to lift up to 20 lbs regularly.

  • Ability to sit or stand for extended periods.

  • Proficiency with computers and office equipment.

  • Manual dexterity for handling office supplies and equipment.

  • Ability to work in an office environment.

  • Ability to travel may be required.

Estimated Starting Salary Range: $25.24 - $34.71. Compensation varies depending on a wide array of factors, such as candidates' key skills, relevant work experience, and education/training/certifications. The disclosed range estimate may be adjusted for any applicable geographic differential associated with the location at which the position may be filled.

This position requires the ability to obtain and maintain a Secret U.S. Security Clearance. U.S. Citizenship status is required as this position needs an active U.S. Security Clearance for employment. Non-U.S. citizens may not be eligible to obtain a security clearance. The Department of Defense Consolidated Adjudications Facility (DoD CAF), a federal government agency, handles the adjudicative aspects of the security clearance eligibility process for industry applicants.
