Overview:

Sentara Martha Jefferson hospital is hiring an Administrative Assistant II for our Senior Leadership Operations team. This is a full time, day shift in Charlottesville, VA.

Hours are 830am to 5pm Monday to Friday with some flexibility for required meetings and events that may fall outside of business hours. This is an onsite role in the administration offices.

The Administrative Assistant II will perform a variety of administrative tasks aimed to optimize the time and performance of a manager or employees of a department; higher level roles will work for higher level managers or departments. Tasks may involve acting as a first point of contact, dealing with correspondence and phone calls, managing diaries, organizing meetings and appointments, preparing documents or reports, and controlling access to the manager or the department. May involve dealing with confidential information. Works alongside department leadership to provide consultation and education to division leaders and staff regarding policies, procedures, initiatives and programs related to the department's function and areas of responsibility. Participates in planning and implementation of department initiated programs, including support for ongoing monitoring. Designs and prepares moderate to complex reports and creates presentations in support of
department operations or special projects utilizing available business tools such as Microsoft Office applications, report writers, databases, or proprietary and/or commercial information systems.

This role will support the Director of Finance, Chief Nursing Officer and Chief Medical Officer.

This position not only covers scheduling and calendaring for the finance function but also handles the Board minutes and prep for three Boards as well as provides operational deliverables for routine daily/weekly/monthly reporting (excel) and presentation slides for leadership and Boards.

Ideal candidates will be highly organized, and task oriented with the ability to manage multiple priorities simultaneously. Will collaborate with cross functional teams across many levels of the organization. Must have the ability to recognize priority items and manage the tasks and requirements that are needed for upcoming deadlines.

Education

  • High school diploma required

  • Associates or Bachelor degree preferred

Certification/Licensure

  • none required

Experience

  • 3 years of administrative experience required.

  • Background in Finance or Accounting highly preferred

  • MS Office experience including Excel with V lookup and pivot table capabilities required.

  • Experience supporting Senior Leadership and external boards highly preferred

  • Ability to prioritize and multi-task- required.
