Position Title: Administrative Assistant II NA

Position Overview  

The Willow Lake Corporate Headquarters Receptionist/Administrative Assistant II position reports to the Willow Lake Facility Manager and is responsible for performing main lobby receptionist duties, including answering the phones, greeting guests, monitoring the campus security system, and providing administrative support to the Facilities Management team. Creating a professional and welcoming environment is important, as this person will be the first point of contact for our customers and visitors. This person will also participate in emergency response activities for first aid, evacuations and shelter in place, address facility related issues, and assist with other site related support as requested.

Primary Responsibilities

  • Perform main lobby receptionist duties from 8-4:30 pm daily.

  • Answer incoming calls in a professional and pleasant manner, and route calls appropriately.

  • Monitor the campus security system including cameras and badge access.  Report any suspicious activity or incidents to appropriate personnel.

  • Warmly greet guests and employees entering and leaving the main lobby.

  • Ensure site visitor policy is followed at all times, including visitor sign-in/out, issuing visitor badges, and contacting appropriate department to escort visitors.

  • Actively participate in emergency response activities including safety announcements, first aid communication, evacuations, and shelter in place.

  • First point of contact for facility related issues.

  • Maintain front desk manual, and security and facility incident logs.

  • Maintain/organize the front lobby area.

  • Provide any other site related support as requested by the Facility Manager.

Minimum Requirements

  • High School Diploma, or GED.

  • 2+ years of administrative or customer-facing experience in a private, public, or government environment.

  • Excellent verbal/phone communication skills.

  • Excellent computer skills, including MS Office suite and ability to learn all facility software systems.

  • Must be prompt and reliable.

  • Ability to multi-task and handle multi-line phone system.

  • Ability to handle difficult customers and stay calm under pressure.

  • Ability to use tact and discretion.

  • Ability to perform under limited supervision, with discretion and independent judgment.

  • Good organizational and problem solving skills.

  • Ability to prioritize and effectively manage time.

Preferred Requirements

  • 2-year associate degree, BS or BA degree.

  • 3+ years of experience as a receptionist, or direct customer services / interface, in a large corporate office environment.

  • Knowledge of company organization, policies, and personnel.

Pay is based on several factors including but not limited to education, work experience, certifications, and geographic location.
