The Biomedical Engineering (BME) Department at Carnegie Mellon University is renowned for its interdisciplinary approach to solving complex healthcare challenges. Located within CMU's College of Engineering, the department emphasizes the integration of engineering principles with biomedical sciences to address pressing medical and biological issues. The department is characterized by its focus on creating impactful technologies and therapies that improve patient care and advance biomedical innovation globally.

Administrative Assistant II. Responsible for providing calendaring, secretarial, administrative, coordination, operational, and financial assistance for the department (25%) and two faculty members (75%). Works closely with the Director of Finance and Operations and the faculty members to ensure that departmental and faculty lab group finance, human resources, and operations run smoothly.

Core Responsibilities:

  • Acts as a liaison or contact person with other university departments, i.e. Budget Office, Registrar, Property Management, Human Resources, etc., and with outside organizations. Assists in the research, preparation and processing of information.
  • Assists with the workflow within the department. May oversee support staff or student workers through distribution of work and review of work progress. Assists in the training of newly hired staff and students and provides feedback on performance. Recognizes the opportunity for process improvement and participates in the implementation.
  • Attends various meetings within the department. May serve on inter-departmental committees.
  • Books travel for faculty, staff and students. Processes reconciliations on behalf of buyers, other staff, and faculty. Makes course, lab, and research purchases. Processes Human Subject Payment Requests. Other duties as assigned
  • Maintains calendars to ensure time-critical issues such as provisional and annual performance reviews, performance management activities, group meetings, project reviews, etc. are identified and adhered to.
  • Performs related work and special projects as assigned.
  • Provides administrative assistance such as coordinating meetings logistics and resources; maintaining calendars, drafting correspondence, reports, and other documents for supervisor’s signature and/or approval.
  • Provides general office management by setting up and maintaining complex file systems, and supporting staff and budget related processes and work.

Qualifications:

  • High School Diploma or Equivalent; Associates Degree Preferred
  • 5-8 Years Experience
  • Organization and Planning Skills, Oral and Written Communication Skills, Administrative Support Experience, Office Management Experience, Word Processing Experience, Data Entry Experience, Interpersonal Skills, purchasing/budgeting skills
  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered
