The Administrative Assistant 3 follows established procedures and guidelines to provide timely and effective secretarial support to an office, business unit, department, or other organization. Answers telephones, screens calls, and takes messages so callers/visitors are attended to promptly, courteously, and accurately. The Administrative Assistant 3 performs advanced administrative/operational/customer support duties that require independent initiative and judgment. May apply intermediate mathematical skills.

The Administrative Assistant 3 will provide dedicated administrative support to the Senior Vice President (SVP), Risk Adjustment and two other senior leaders within the Quality & Cost Strategy Organization. This role transcribes, types, formats, and proofreads a variety of materials (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics, and spreadsheet software. The Administrative Assistant coordinates internal and external meetings, which may involve scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available. Managing the appointments and schedules of the SVP is a key responsibility.

Additional duties include using office equipment such as photocopiers, faxes, and printers, distributing incoming mail, preparing outgoing mail, filing, and maintaining office supplies or other inventory. Decisions are typically focused on methods, tactics, and processes for completing administrative tasks/projects. The Administrative Assistant regularly exercises discretion and judgment in prioritizing requests, interpreting and adapting procedures, processes, and techniques, and works under limited guidance due to previous experience and organizational knowledge.

Key Role Functions

  • Provide administrative support directly to the SVP, Risk Adjustment, and interface with internal and external stakeholders, partners, providers, and corporate and community leaders.
  • Manage and maintain calendars/schedules for the SVP using sound judgment to prioritize meetings.
  • Organize and manage all details related to arranging business meetings (onsite/offsite logistics, coordination with other areas' designees, catering, remote access, communication, etc.).
  • Assist the SVP and leadership team with presentations, responses to requests, reports, meeting agendas, and meeting materials.
  • Maintain and manage travel schedules for the SVP, including scheduling appointments and making travel arrangements.
  • Maintain office files, records, and filing systems as appropriate.
  • Determine proper course of action for incoming requests, calls, and correspondence, and direct to the appropriate person or operational area.
  • Anticipate needs and take initiative to eliminate any potential bottlenecks which may arise.
  • Handle executive floor's audio/visual needs (if onsite).

Required Qualifications

  • 5+ years of experience supporting senior level executives in a large and complex organization.
  • Experience managing details for executive leaders related to calendaring/scheduling, follow-up requests, travel-related planning, processing and managing expenses, etc., with a low rate of error.
  • Strong proficiency in Microsoft Office including Word, PowerPoint, Excel, and Outlook.
  • Strong attention to detail with excellent verbal and written communication skills.
  • Ability to build strong working relationships with people both internally and externally.
  • Ability to always retain confidentiality.
  • Ability to manage and prioritize a large workload.
  • Applicant must be located within 50 miles of the following location: Louisville, KY

Preferred Qualifications

  • Associate or bachelor's Degree.
  • Experience with internet research and proof-reading/editing.
  • Experience using various visual collaboration platforms (e.g., Lucid, Loop).

Additional Information

This position is primarily remote; however, occasional onsite work may be required depending on business needs. Candidates should be comfortable with a possible hybrid work arrangement. This position requires that you be located within 50 miles of the following location: Louisville, KY. This position operates on Eastern Standard Time (EST) hours.

Travel: While this is a remote position, occasional travel to Humana's offices for training or meetings may be required.

Pay Range

The compensation range below reflects a good faith estimate of starting base pay for full time (40 hours per week) employment at the time of posting. The pay range may be higher or lower based on geographic location and individual pay will vary based on demonstrated job related skills, knowledge, experience, education, certifications, etc.


 

$53,100 - $72,500 per year
