The Administrative Assistant coordinates internal and external meetings which may involve scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available. Manages the appointments and schedules of applicable staff. Uses office equipment such as photocopiers, faxes, and printers.
Key Responsibilities:
Manage calendars, schedule appointments, and coordinate meetings and travel arrangements for assigned leaders.
Prepare correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.
Assist with the preparation and reconciliation of expense reports and purchase requisitions.
Coordinate logistics for meetings, including room reservations, materials preparation, and catering.
Maintain confidential files and records, ensuring compliance with company policies.
Support project coordination, track deadlines, and follow up on action items, as needed
Ability to balance multiple initiatives and prioritize workload
Serve as a point of contact for internal and external stakeholders.
Perform other duties as assigned to ensure efficient office operations.
Additional responsibilities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory. Decisions are typically focus on methods, tactics and processes for completing administrative tasks/projects. Regularly exercises discretion and judgment in prioritizing requests and interpreting and adapting procedures, processes and techniques, and works under limited guidance due to previous experience/breadth and depth of knowledge of administrative processes and organizational knowledge.
Required Qualifications:
Minimum of 3-5 years of administrative support experience, preferably supporting management or executive-level staff.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Excellent written and verbal communication skills.
Strong organizational skills and attention to detail.
Ability to handle confidential information with discretion.
Demonstrated ability to work independently and as part of a team.
