About the Role

As an Administrative Assistant at Gap Inc., you will support multiple VP / SVP executives on the HR Senior Leadership Team, ensuring seamless day-to-day operations and delivering comprehensive, high-level administrative support. Partnering closely with the Heads of HR for Talent Acquisition, Talent Management, and Inclusion & Belonging, you will serve as a trusted partner – proactively managing competing priorities, optimizing executive effectiveness, and enabling focus on strategic initiatives.

A key aspect of the role is managing executive time and focus with strong judgment and decision making, ensuring alignment to the most critical business needs. You will build strong relationships across the organization, navigate complexity with agility, and contribute to a collaborative, inclusive, and high-performing team environment.

What You'll Do

  • Operate with a high level of autonomy, exercising sound judgment, discretion, and professionalism in a fast-paced environment with multiple stakeholders.

  • Manage highly complex and dynamic calendars across multiple executives, prioritizing critical meetings and resolving conflicts with a strong understanding of business priorities and impact.

  • Partner cross-functionally to support business updates, communications, and operational priorities, fostering strong relationships across teams and levels.

  • Coordinate internal and external meetings, ensuring alignment, preparedness, and effective follow-through on action items.

  • Arrange domestic and international travel, anticipating needs and delivering a seamless experience across multiple leaders.

  • Leverage tools and technology, including AI and core administrative systems, to streamline workflows and improve efficiency.

  • Support onboarding processes to ensure a smooth and organized experience for new team members.

  • Handle expense reporting with accuracy, timeliness, and strong attention to detail.
