Position Summary

Clarion Partners is seeking an Administrative Assistant to support senior professionals in the Dallas, TX office. This role provides diversified administrative support and handles tasks ranging from basic to complex, with a strong emphasis on confidentiality, accuracy, attention to detail, and the ability to manage multiple priorities. The successful candidate is self-motivated, demonstrates sound judgment, and can independently resolve moderately complex issues.

Responsibilities

  • Manage meeting logistics for internal and external parties, including conference room reservations, audio/visual needs, and catering.
  • Process invoices and travel and expense reports.
  • Draft, edit, proofread, and format memos, emails, presentations, and other business documents; scan, save, and distribute documents as needed.
  • Maintain document management systems and accurate electronic and hard-copy files.
  • Oversee incoming and outgoing correspondence and deliveries (e.g., FedEx, UPS, courier, USPS) and ensure timely distribution.
  • Assist with annual property-level recoveries and reconciliation processes.
  • Support annual business plan preparation across portfolios.
  • Help plan and coordinate annual broker trips for regional teams, including travel arrangements and itineraries.
  • Support property-level and operational projects as needed, including letter of credit processing and updating property visit compliance platforms.
  • Identify opportunities to streamline administrative and operational workflows; document current processes and propose improvements to increase accuracy, speed, and consistency.
  • Leverage AI and automation tools to create efficiencies (e.g., drafting, summarizing, formatting, and organizing content) while adhering to firm policies for confidentiality, data security, and quality control.
  • Provide backup administrative coverage as scheduled or as needed.

Qualifications

  • Bachelor’s degree.
  • 3–4+ years of relevant administrative experience; financial services experience preferred.
  • Strong interpersonal, communication, and writing skills; ability to draft routine correspondence and proofread with high attention to detail.
  • Strong organizational skills with the ability to prioritize a diverse workload; dependable, proactive, and able to work independently with minimal direction.
  • Demonstrated judgment, discretion, and professionalism; ability to interact effectively with all levels of staff.
  • Proficiency with expense processing tools (e.g., Concur, Workday).
  • Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
  • Comfort using AI-enabled productivity and automation tools
  • Working knowledge of web-based collaboration tools (e.g., SharePoint, ShareFile).
