The Administrative Assistant is responsible for performing the daily tasks necessary to maintain general office operations. Additionally, the Administrative Assistant is responsible for establishing and maintaining all corporate and professional engineering licenses, scheduling and assisting with continuing education programs for Beta employees, coordinating travel arrangements for Beta Engineering and its employees, and scheduling and organizing all meetings and corporate functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Tracks and enters license information into the Access database.
• Files and renews license applications for all engineers and for Beta Engineering.
• Files and maintains documentation of license credentials for all states.
• Schedules continuing education courses for all engineers.
• Accurately executes travel arrangements for Beta employees, including flights, rental cars, hotels, and incidentals.
• Negotiates hotel rates in jobsite areas as needed.
• Schedules and coordinates setup for corporate meetings.
• Supports the planning and organization of corporate events through the event committee.
• Performs miscellaneous office duties and tasks as directed by the Office Manager or President.
• Maintains confidentiality and ensures the security of sensitive information.
• Picks up mail from Crest and sorts it for distribution.
• Manages fleet vehicle operations, including maintaining records, scheduling maintenance, coordinating reservations, and handling pickup and delivery to the airport.
ADDITIONAL RESPONSIBILITIES:
• Carries out additional responsibilities as assigned by the Office Manager.
• Interfaces with all departments and employees.
• Coordinates with Crest on select tasks, including licenses, bonds, financial statements, and jet reservations.
• Provides after-hours support as needed for travel assistance and corporate events.

• Maintains a clean driving record, as use of company vehicles is required for the position.
• Assists or directs team members as needed when emergent travel situations arise.
EDUCATION AND EXPERIENCE:
• Associate degree from a two year college or technical school is preferred (High School diploma along with 2-5 years of experience will be considered in lieu of two-year degree).
• 2-5 years of practical experience preferred.
• Knowledge of Microsoft Excel, Microsoft Word and Adobe Acrobat is required.
• General knowledge of Microsoft Access is preferred.
WORKING CONDITIONS:
• Will work in an office environment with minimal exposure to dust, noise, and other environmental hazards. May involve prolonged periods of sitting and frequent use of a computer, keyboard, and mouse.
• Able to lift 50 pounds
• Use of company vehicle, on occasion. A successful Motor Vehicle Report (MVR) is required.
