We are looking for a high output, thoughtful, and skilled Administrative Assistant to add value, energy, and support to our team in Toronto. Our OCEO team provides partnership and administrative support to ensure efficient operation of Executives at Clio. This role involves handling a variety of tasks, including administrative duties, onsite management, communication, and calendar scheduling to support managers, employees, and visitors. The ideal candidate is organized, detail-oriented, and able to multitask in a fast-paced environment.
Supporting executives, managing executive calendars, meetings, appointments and travel plans
Coordinate events and onsites in collaboration with Executive Assistants
Act as a main point of contact for OCEO team in Toronto for onsites and other in-person events
Manage monthly expense reports and maintain organized records
Coordinate all aspects of executive travel, including itineraries
Handling inquiries and requests, triaging business priorities with support from Executive Assistant
Provide support to the OCEO team and collaborate with other departments
Contribute to the OCEO internal resources and community of best practices
Administer department tools including our knowledge management system, ensuring content is up to date
Assist with special projects and other related duties as assigned
Liaise with the Workplace Experience and other business teams as required
1-2 years of proven Administrative experience
Proficiency in Google Suite and Slack
Strong organizational and time-management skills
Clear and concise communication both written and verbally
Ability to multitask and prioritize tasks efficiently
Attention to detail and problem-solving skills
Professional demeanor and ability to work both independently and as part of a team
Experience in event planning or management
Expense management experience, specifically using Concur

*Our salary bands are designed to reflect the range of skills and experience needed for the position and to allow room for growth at Clio. For experienced individuals, we typically hire at or around the midpoint of the band. The top portion of the salary band is reserved for employees who demonstrate sustained high performance and impact at Clio. Those who are new to the role may join below the midpoint and develop their skills over time. The final offer amount for this role will be dependent on geographical region, applicable experience, and skillset of the candidate.
