About This Role:

Hippo is seeking a detail-oriented Administrative Assistant, Claims to join our team and provide vital administrative and operational support in a fast-paced environment. In this role, you’ll handle daily tasks, projects, and special assignments that keep the Claims department running efficiently while occasionally engaging directly with customers at the start of the claims process. During catastrophic events, you’ll reach out to customers proactively, providing timely guidance and reassurance.

About You:

You are comfortable managing multiple responsibilities at once and navigating through various systems with ease. You perform your role with precision and accuracy, bringing strong critical thinking, problem-solving abilities, and sound judgment. You communicate clearly and professionally by phone and email, providing excellent service and acting as a stabilizing force for both internal and external customers. You are collaborative and self-motivated, working effectively both independently and as part of a team. You also bring a positive customer experience by being empathetic, calm, and supportive, even in urgent or challenging situations.

What You’ll Do:

  • Provide administrative support by processing stop payments, posting recoveries, paying expenses, setting up vendors, and completing claim referrals to keep claims processing efficient.
  • Monitor the claims mailbox by responding to claim inquiries via email, filing new claims, and ensure timely distribution of documents to the appropriate claim files, while identifying and prioritizing urgent items such as complaints and suits.
  • Manage workflows by exporting claim files for attorneys or DOI responses, and updating adjuster availability in the claim system
  • Connect with customers during catastrophic events to provide claim filing information and offer support.
  • Support special projects and ad hoc assignments, ensuring accuracy and timely turnaround
  • Support third-party teams in serving customers by sharing knowledge of Hippo’s claims processes and workflows.

Must Haves:

  • 2+ years of strong administrative experience required; insurance or 3+ years of call center customer service experience preferred (we’ll provide training on the insurance side).
  • Strong organizational, problem-solving, and communication skills (written and verbal), with proficiency in Outlook, Word, Excel, and Zoom.
  • Intellectual curiosity and a genuine desire to help others solve problems.
  • Able to work a full 8-hour shift, Monday–Friday, between 8:00 AM and 6:00 PM, in a hybrid arrangement requiring 2–3 days per week onsite at our Austin or Irving office.
  • Ability to thrive in a fast-paced, dynamic culture with flexibility to adjust priorities, and extend hours during peak demand or catastrophic events.
