Position Summary:

The Administrative Assistant / Records Clerk processes open records requests for court records in compliance with Wisconsin Open Records Law (Wis. Stat. § 19.31-19.39).  This position uses the Wisconsin Circuit Court Access (CCAP) system to locate and verify case information and ensures timely, accurate, and lawful release of records.  The role requires excellent customer service, strong attention to detail, and the ability to multi-task in a fast-paced environment.

Examples of Work Performed:

The following duties are typical of this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required or assigned.

  • Process and respond to open records requests in accordance with Wisconsin Law
  • Locate, review, redact, and release court records as appropriate
  • Utilize CCAP and internal systems to research case information
  • Assist customers in person, by phone, and in writing with professionalism and accuracy
  • Maintain records request logs and collect applicable fees
  • Ensure confidentiality of restricted information
  • Manage multiple priorities and meet deadlines
  • Ability to work independently and collaboratively
  • Perform other duties as assigned

Qualifications:

  • High school diploma or equivalent required
  • Clerical, administrative, or records experience preferred
  • Experience in a legal, court, or government setting is a plus
  • Strong customer service, communication, and organizational skills
  • Ability to handle confidential information and multitask effectively

Knowledge, Skills, and Abilities:

  • Ability to communicate effectively with internal and external customers both in person and on the phone.
  • Ability to multi-task and cross train for various roles in the department.
  • Knowledge of computer software applications and operations.
  • Skill in operating standard office equipment and ability to perform simple maintenance as needed.
  • Ability to establish and maintain effective working relationships with other employees, clients, community agencies, and the general public.
  • Knowledge of basic filing and recordkeeping principles.
  • Ability to assume responsibility for established office procedures and problem solve with limited supervision.
  • Ability to maintain confidentiality.
  • Understand the County’s and department’s mission, core values, plans, and priorities for the future.
  • Ability to contribute to a positive work culture that fosters excellent customer service and teamwork.

Compensation: 

Starting hourly rate $19.70 + Marathon County benefits  

Physical Requirements:

Low Physical Requirements - Job involves minimal physical exertion or movement. This job typically requires prolonged sitting, limited walking, or minor lifting.
