Project-Based Role:  This is a project-based position with an anticipated duration of 8+ months. 

Location: Los Angeles, CA

Compensation: The salary range for this position is $62,613 to $70,440.  Compensation may vary based on location and experience.  

Job Summary:

Are you a multifaceted Administrative Assistant with solid experience providing support to teams in a creative work setting? Come join Meow Wolf, where you’ll work as an Administrative Assistant onsite, for our much-anticipated exhibition in Los Angeles, CA  and support the Art Team Task Force (ATTF) team with various tasks that range from coordinating team activities to reconciling expenses. The Administrative Assistant works in a fast-paced, creative environment as an invaluable support role with Meow Wolf’s ATTF team. 

 

Administrative Assistants provide support to managers and other employees by handling a variety of responsibilities in order to ensure that all interactions between the organization and others are positive and productive. This position works closely with department leadership to develop meeting agendas, take meeting notes, maintain project systems and structures and track expenses. The Administrative Assistant is available for general administrative tasks, data entry, errands and ordering. This position requires detail-focus with interest in and a general understanding of planning and budgeting. 

 

To be successful as an Administrative Assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive and should always be willing to meet each challenge directly. Administrative Assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, Administrative Assistants should have a genuine desire to meet the needs of others and keep sensitive information confidential. 


You will provide administrative support with grace, enthusiasm and diligence, thereby contributing to a positive and convivial work environment. 


 

Key Responsibilities:

  • Execute a variety of administrative and assistant tasks, including, but not limited to, managing correspondence, filing, scanning, shipping, data entry, contact management, ordering supplies and tracking inventory, meeting agendas and notes.

  • Perform a variety of financial tasks, including tracking receipts, submitting data entry into project budgets, managing and reporting all expenses and reconciling department and project credit cards.

  • Maintain filing systems, both hardcopy and digital.

  • Maintain daily project schedules, calendars and timelines.

  • Execute various tasks related to meetings, including scheduling, preparing agendas and recording and distributing meeting minutes. 

  • Daily tasks may include:

    • Coordinating with production assistants/runner to log receipts 

    • Onboarding ATTF members with items such as PPE, locker, etc.

    • Managing and coordinating onsite certifications 

    • Assisting in Team communication, via slack, such as providing any updates of arrival times. 

    • Assisting in keeping ATTF task list up to date, then provide weekly updates

    • Attending pull plan meetings as needed

    • Assisting with documentation 

  • Weekly tasks may include:

    • Ordering team snacks

    • Collecting, categorizing, then submitting receipts to Workday

  • Monthly tasks may include:

    • Organizing team events 

    • Organizing team meals

Required Qualifications

  • You bring 3 years of administration/production experience and/or holding a support role for people, teams, or organizations, ideally on a construction site or for large, complex projects. 

  • You come with excellent critical thinking and problem solving skills.

  • You are open minded, work well with various personalities, and bring savvy interpersonal skills.

  • You are agile and adaptable based on the needs of a dynamic work environment and collaboration with diverse teams

  • You come with strong attention to details and can operate in a fast-paced setting, while staying calm. 

  • You hold experience managing complex schedules and deadlines.

  • You hold experience working in an environment where discretion regarding sensitive or confidential information was required.  

  • You have experience using Google Suite, as well as some experience using expense management software such as Workday. 

Work Environment and Physical Demands 

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed must be representative of the knowledge, skills, minimum education, training, licensure, experience, and/or ability required.  

Work Environment: 

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and scanners. This position also works in an indoor setting with exposure to noisy environments, dim lighting, strong visual effects including strobing lights, special effects, fog machines and small and/ or enclosed spaces. 

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Physical ability to walk, stand, take stairs/slides/elevators, and navigate the elements during the day and night. Employee may be required to remain in a sitting or standing position for prolonged periods, and repeat motions that may  include the wrists, hands, and/or fingers. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.   Must be able to lift up to 20 pounds at times.

Work Schedule:

This is a full-time position, and hours of work and days are Monday through Friday, 9a.m. to 5 p.m. or 10 a.m. to 6 p.m. Occasional evening and weekend work may be required as job duties demand.

Supervisor Responsibilities:

This position does not require supervisory responsibility.
