How will you make your impact?

As the Administrative & HR Operations Coordinator at Linxon is a critical enabler of operational excellence, employee experience, and business continuity. This role serves as the central administrative and HR coordination hub for the Puerto Rico office, ensuring seamless day‑to‑day operations while supporting HR processes, onboarding, recruitment coordination, IT enablement, project execution, and internal communications. Acting as a trusted liaison between the local team and the broader organization, this position drives consistency, accuracy, and professionalism across multiple functions. Through proactive coordination, structured processes, and clear communication, the role directly supports Linxon’s growth, project delivery, and ability to operate efficiently across regions.

What will you do?

  • You will oversee daily office operations, ensuring a professional, organized, and efficient work environment.

  • You will manage office supplies, equipment, vendors, access, visitors, mail, meeting spaces, and general administrative logistics.

  • You will support scheduling, calendars, travel arrangements, and administrative requests with accuracy and efficiency.

  • You will maintain well‑organized electronic and physical filing systems in alignment with company standards.

  • You will coordinate end‑to‑end onboarding activities, including documentation, orientation scheduling, stakeholder coordination, and progress tracking.

  • You will provide administrative support for recruitment, including interview scheduling, candidate communications, and interview logistics.

  • You will maintain accurate, confidential, and compliant HR records and support offboarding documentation as required.

  • You will coordinate basic IT and systems support, including new hire setup, equipment requests, system access, and issue escalation.

  • You will track office equipment, system access, and user credentials to support security and accountability.

  • You will provide administrative and coordination support to project teams, including documentation, presentations, reports, and meeting materials.

  • You will track action items and follow up with stakeholders to support timely execution and closure.

  • You will support internal communications, documentation distribution, cross‑functional coordination, and compliance with company policies and audit requirements.

Who you are?

  • You have 3–5 years of experience in office administration, HR coordination, or administrative support roles.

  • You have hands‑on experience supporting HR onboarding and recruitment processes.

  • You have strong organizational skills with the ability to manage multiple priorities and deadlines effectively.

  • You have excellent written and verbal communication skills and can interact professionally at all levels.

  • You have full professional fluency in both English and Spanish, written and spoken.

  • You have a foundational understanding of IT systems, office software, and administrative tools.

  • You have strong proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.

  • You have a high level of professionalism, discretion, and attention to detail.

  • You have the ability to work independently while collaborating effectively in a fast‑paced, team‑oriented environment.
