The Opportunity
Our USGO American Gulf team is seeking a skilled Administrative Analyst who will be responsible for providing support to the Regional Area Operations Managers and the employees reporting to the managers. This position will be directly involved in the tracking and compilation of the operations and maintenance budgets, expenses, and forecasting activities across multiple lines of business.
The successful candidate must be an efficient time manager, capable of working with minimal supervision, who possesses strong analytical, organizational, and written/verbal communication skills.
Extended hours of work may be required
Provides emergency support as required
What you'll do
Serve as the primary contact for the Managers of Multiple Areas, Regional Managers, or Regional Director
Support the region with the proper execution of work and outreach across other regions as needed
May be asked to compile standard reports for management and review source documents for data input
Check accuracy and relevance of input and output data by visual examination, correcting codes, and processing changes
Assist in contacting other departments and/or outside agencies to resolve issues identified by those they support
May be asked to coordinate outside contractors and in-house services performing a wide range of tasks related to maintenance and upkeep of buildings, grounds, office space, office equipment, etc.
Office Management responsibilities include, but are not limited to:
Handling of shipping and receiving in the office
Maintenance of records filing system in accordance with company standards
Preparation of documents, spreadsheets and presentations
Financial responsibilities would include:
Management of the consolidated budget commitment tracker
Requisition of needed services and materials
Purchase order tracking and follow-up
Other defined activities
Responsible for various activities in the following areas:
Vehicle Fleet Program
Training and Learning Development
Emergency Management
Community Investment/Public Awareness
Work with Accounts Payable and Supply Chain on invoice tracking and vendor-related activities
Reconciliation of expense reports for designated parties in the region of responsibility
Maintenance of some media and print notification platforms
Coordinating travel for designated individuals
Provide guidance/assistance to team members on company programs and processes such as time reporting, expense reporting, and training
Upon request, may fill in for other Administrative Analysts across USGO, in whole or in part, during his/her absence
Handle highly sensitive and confidential information and issues in an appropriate and professional manner
Review and responds to internal and external communications while maintaining appropriate confidentiality
Perform additional duties and tasks as assigned
Minimum Qualifications
High school diploma or equivalent
Five or more years of related experience
Advanced computer skills including Microsoft Excel, Outlook, PowerPoint, and Word
Demonstrated budgeting and forecasting experience
Demonstrated ability to effectively communicate
Preferred Qualifications
Associate’s degree in administration, accounting, finance, business, or a related program
Solid understanding of TC Energy's structure, business interests, and key stakeholders
Working knowledge of SAP
This position requires candidates to:
Travel to other company locations for temporary assignments, meetings, or training which would involve some overnight stays away from home
Work overtime when required
