Base salary will be in the range $83,776.43 – $93,121.40 + 17% super (HEW Level 5)

We are seeking a motivated, energetic and organised Administrative Officer (locally known as General Services Officer) to join the School of Mathematics and Physics as part of a professional, collaborative and inclusive team.
Based in the busy main enquiries office, this role provides a welcoming first point of contact for students, staff and visitors. Reporting to the School Manager, you will deliver high quality, client focused administrative support that underpins the School’s teaching, research and engagement activities.
You will work closely with colleagues across the School and contribute to a positive team culture. This role suits someone who enjoys working with people, takes pride in service excellence, and thrives in a dynamic environment.
Key responsibilities will include:
Providing high‑level administrative support and acting as the first point of contact for enquiries from students, staff and external stakeholders.
Coordinating School seminars, conferences, meetings and events, including logistics, budgets, reporting and stakeholder liaison.
Managing short-term equipment loans, space and access (including room bookings), and maintain accurate records to ensure effective allocation of resources and facilities for students, staff, and visitors.
Assisting with the onboarding processes for staff, students, and visitors, ensuring smooth induction and access to all necessary facilities and resources.
Assisting with finance, procurement, recruitment administration, inductions, records management and general School operations.
Supporting the School Manager with maintaining and updating the School’s SharePoint site and website.
You are an organised and proactive administrator who enjoys working in a dynamic academic environment and takes pride in delivering excellent service. You will bring:
A degree or diploma with relevant experience, or an equivalent combination of education and professional experience.
Demonstrated experience providing high‑quality customer service, with strong interpersonal and communication skills.
Well‑developed organisational skills, including the ability to manage competing priorities, work independently and meet deadlines with attention to detail.
Proficiency in Microsoft Office applications including Word, Excel, PowerPoint and Outlook.
Experience working collaboratively as part of a team in a busy, service‑focused environment.
Strong stakeholder engagement skills and the ability to handle sensitive matters with professionalism and discretion.
Knowledge of university administrative systems, policies and procedures, or the ability to quickly acquire this knowledge.
