Administration Officer (Discipline Support)

About This Opportunity 

Join the School of Electrical Engineering and Computer Science as an Administrative Officer, where your work will sit at the heart of a vibrant, future‑focused academic discipline. In this pivotal professional role, you will provide high‑level research and operational administrative support, enabling academic leaders, staff and HDR students to thrive in an environment defined by collaboration, innovation and impact. Working closely with the Discipline team and broader Faculty partners, you will contribute to the smooth delivery of research activity, projects and priorities that support UQ’s purpose of creating change together.

Key responsibilities will include:

  • Providing high‑level research and operational administrative support to discipline leaders, staff, visitors and HDR students, including HR, finance, reporting, correspondence and event and travel coordination.

  • Coordinating financial administration including UniFi requisitions, invoice processing, catering and hospitality, corporate card reconciliation and reimbursements.

  • Acting as secretariat for School and discipline committees, including scheduling, preparing papers, minute‑taking and managing meeting logistics.

  • Delivering executive support to the Discipline Leader, including diary management, travel coordination and support for University commitments.

About You  

You are a proactive and highly organised professional who thrives in a fast‑paced academic environment and enjoys enabling others to do their best work. You bring sound judgement, strong communication skills and a service‑oriented mindset, with the confidence to manage competing priorities and complex information.

You will demonstrate:

  • A degree with subsequent relevant experience, or extensive experience and specialist expertise in administration, business or executive support, or an equivalent combination of education and experience.

  • Excellent interpersonal, verbal and written communication skills, with the ability to engage effectively with people from diverse backgrounds and levels of seniority.

  • Well‑developed organisational skills with strong attention to detail and a commitment to accuracy.

  • Proven ability to manage workloads independently and collaboratively, meeting deadlines with confidence and flexibility.

  • Experience using a broad range of computer applications, particularly the Microsoft Office suite, in a networked environment.

  • Demonstrated capability in financial administration, including invoice processing, reconciliations and compliance with policies and procedures.

  • The ability to quickly learn and effectively use University systems such as UniFi and Expense Management platforms.
