Administration Officer (Discipline Support)

About This Opportunity 

We are seeking two motivated and organised Administration Officers to support our School of Electrical Engineering and Computer Science (EECS) due to a significant increase in HDR student enrolments and academic staff numbers, resulting in greater demand for research and operational administrative support.

These permanent positions are essential to ensure efficient management of two Disciplines concerning:

  • Providing high-level administrative coordination, project support, and stakeholder engagement. You will maintain streamlined processes for finance, HR, space allocation, and event coordination, enabling Discipline Leaders and staff to focus on core teaching and research priorities.

  • Act as a first point of contact for administrative enquiries from staff and students within the Discipline. You will maintain effective relationships with stakeholders within the Discipline, while liaising with other professional support services across the School and Faculty where required.

Other key responsibilities will include:

  • Providing comprehensive administrative and executive support to school discipline leaders, staff, visitors, and HDR students, including human resources and finance functions, correspondence, reporting, event and travel coordination, and committee secretariat duties.

  • Responsibilities include managing calendars, projects, space allocation, data and document management, and developing effective administrative systems and procedures.

  • The role also involves coordinating workshops, seminars, and conferences, liaising with internal and external stakeholders, and serving as the primary point of contact for enquiries requiring interpretation of policies and procedures.

About You

  • A degree with subsequent relevant experience; or extensive experience and specialist expertise or broad knowledge in administration, business or executive support; or an equivalent combination of relevant experience and/or education/training.

  • Excellent interpersonal and verbal/written communication skills, including the ability to communicate effectively with people from diverse
    backgrounds and of varying social status.

  • Sound problem solving skills and judgment in resolving or redirecting issues.

  • Ability to manage and prioritise workloads, work independently or within a team and meet strict timelines with confidence.

  • Adaptable and flexible approach to work with skills in dealing with difficult situations to meet changing needs and priorities.

  • Well-developed organisational skills with high level attention to details and ensuring accuracy of information.

  • Extensive experience in the use of a wide range of computer applications in a network environment, particularly Microsoft Office Suite of programs.

  • Demonstrated capacity to effectively use University platforms such as UniFi and Expense Management System or the ability to rapidly gain such knowledge.

  • Experience in reconciliation of credit cards, payment of invoices and the ability to interpret and abide by University policies and procedure in all areas of financial and administrative management.

Appointment to this role is subject to the successful completion of relevant pre-employment checks, which may include verification of the right to work in Australia and Blue Card checks. This may also include checks relating to gender-based violence matters or other integrity and conduct requirements.
